Job Summery
We’re looking for a detail-oriented, people-friendly Lot Coordinator / Administrative Assistant to be the first point of contact for our customers and a key support to our Lot Manager and Owner. You’ll answer phones, greet and check in clients, and handle a variety of office tasks that keep daily operations running smoothly.
Key Responsibilities
- Answer and route incoming calls; take detailed messages and follow up promptly.
- Greet clients, check them in, verify appointments, and update records in our system.
- Support the Lot Manager and Owner with scheduling, task follow-ups, and basic reporting.
- Coordinate vehicle drop-offs/pickups.
- Maintain front-desk and lobby appearance; restock forms and supplies.
- Enter data accurately (work orders, client info, inventory updates).
- Receive mail and deliveries; manage basic filing and document scanning.
- Communicate professionally with clients, vendors, and team members.
- Assist with light bookkeeping or invoicing support as needed (training provided).
- Perform other administrative and lot-related duties as assigned.
Qualifications
- 1+ year in a customer service, receptionist, or administrative role.
- Clear, friendly phone etiquette and strong written communication.
- Comfortable multitasking in a fast-paced, service-oriented environment.
- Proficient with basic computer tools (email, calendars, spreadsheets); willing to learn industry software.
- Strong attention to detail, organization, and follow-through.
- Team-first attitude with professionalism and reliability.
- Valid driver’s license and ability to move vehicles on the lot when needed.
Preferred (Nice to Have)
- Experience in automotive, logistics, or service-based operations.
Schedule
- Full-time, on-site.
- Typical hours: Monday–Friday 8am-5pm
Work Environment & Physical Requirements
- On-site front desk and lot environment; frequent walking between office and lot.
- Ability to stand, walk, and occasionally lift up to 25 lbs.
Pay: $18.00 - $20.00 per hour
