Position Summary
We are seeking a detail-oriented and organized Accounts Payable Specialist to join our Finance team. This position plays an integral role in supporting the daily financial operations of a municipal organization. The ideal candidate will have strong accounts payable experience, excellent organizational skills, and the ability to maintain confidentiality while working collaboratively with internal staff, vendors, and the public.
This position is responsible for accounts payable processing, reconciliations, month-end support, reporting, and other financial administrative duties to ensure accurate and timely financial operations.
Key Responsibilities
- Process accounts payable transactions, including invoice receipt, approval verification, data entry, and payment processing.
- Receive payments for services, prepare receipts and deposit slips, and accurately record transactions in the accounting system.
- Assist the Finance Director with month-end procedures, reporting, and financial analysis.
- Reconcile various financial accounts to ensure accuracy.
- Prepare financial reports by gathering, analyzing, and organizing information from multiple sources.
- Respond professionally to inquiries from vendors, residents, elected officials, and staff.
- Research and resolve moderately complex accounts payable and financial issues independently.
- Maintain organized financial records through accurate filing and data entry.
- Complete administrative reports and required documentation accurately and on time.
- Attend meetings, seminars, and training sessions as requested.
- Collaborate with other Township personnel to ensure timely completion of financial tasks.
- Perform other related duties as assigned.
Qualifications
- Accounts Payable principles, procedures, and best practices.
- Local government financial operations preferred.
- Budget concepts and month-end financial procedures.
- Financial reporting and account analysis.
- Computerized accounting software and SharePoint.
- Microsoft Office Suite, particularly Excel and Word.
Skills & Abilities
- Strong data entry accuracy and financial processing skills.
- Experience with account reconciliations, reporting, and analysis.
- Advanced proficiency in Microsoft Excel.
- Excellent organizational, filing, and workflow management skills.
- Ability to maintain strict confidentiality of employee and financial records.
- Strong written and verbal communication skills.
- Professional and courteous customer service skills when interacting with vendors, residents, staff, and officials.
- Ability to prioritize multiple responsibilities and meet deadlines.
- Strong analytical and problem-solving skills.
- Ability to work independently while contributing effectively as a team member.
- Sound judgment and decision-making abilities with minimal supervision.
Preferred Qualifications
- Previous experience in municipal or governmental finance.
- Experience with computerized financial management systems.
- Associate's degree in Accounting, Finance, Business Administration, or a related field, or an equivalent combination of education and relevant experience.
