General Dentist Office - Operations Coordinator
Position Overview
We are a 3 DDS, 13 operatory dental practice seeking a highly organized and accountable Operations Coordinator to lead day-to-day operations and support a productive, positive team environment.
This role is responsible for ensuring the schedule runs efficiently, financial systems are followed, and the front office team performs at a high level. The ideal candidate is a proactive problem-solver who takes ownership of outcomes—not just tasks.
Key Responsibilities:
Practice Operations & Schedule Management
- Oversee daily operations to ensure an efficient, productive workflow
- Manage and optimize doctor and hygiene schedules, including coordinating provider coverage as needed
- Ensure front office systems and scheduling protocols are followed consistently
Financial & Administrative Oversight
- Support accurate billing, insurance processing, and collections workflows
- Monitor key financial metrics including production, collections, and accounts receivable
- Coordinate payroll reporting, PTO tracking, and submission of required financial data
- Assist with regulatory and tax-related administrative requirements
Team Leadership & Human Resources
- Lead hiring, onboarding, and training of front office and clinical team members
- Conduct performance reviews, facilitate regular team meetings, and support team development
- Maintain employee records, job descriptions, and office policies
- Address team concerns and support a professional, accountable work environment
Patient Experience & Communication
- Ensure a high level of patient satisfaction and handle escalated patient concerns when needed
- Support treatment plan presentation and financial discussions
- Monitor and respond to patient feedback, including online reviews
Systems, Compliance & Vendor Coordination
- Maintain compliance with OSHA, labor laws, and regulatory requirements
- Coordinate with vendors, IT providers, and service partners
- Oversee office systems including phone, software, and operational tools
- Support clinical team needs including supplies, equipment coordination, and licensing requirements
Continuous Improvement & Accountability
- Identify inefficiencies and implement solutions to improve workflow and performance
- Collaborate with the practice owner and consultants to achieve practice goals
- Ensure team members are meeting expectations and maintaining accountability in their roles
- Manage and optimize doctor and hygiene schedules, including coordinating provider coverage as needed
- Ensure front office systems and scheduling protocols are followed consistently
Qualifications
- Minimum 2+ years of dental office management or strong front office leadership experience
- Proven ability to manage a multi-provider schedule and maintain productivity
- Strong understanding of insurance, billing, and collections processes
- Comfortable discussing treatment costs and collecting payments
- Demonstrated leadership skills with the ability to coach and hold team members accountable
- Highly organized with strong attention to detail and follow-through
- Ability to multitask and stay solution-focused in a fast-paced environment
- Proficiency with dental software systems (experience with Dentrix is a plus)
Compensation & Benefits
- Base salary starting at $70,000. Salary is negotiable.

Work Schedule
This is a full-time, in-office leadership position. Typical schedule is approximately 36–40 hours per week, with flexibility based on practice needs.
