TITLE: Volunteer Coordinator
REPORTS TO: Associate Director of Audience Services

CLASSIFICATION: Part-time, nonexempt
SCHEDULE: up to 20 hours/week, flexible, hybrid, some weekends/nights
PAY: $25/hourly
POSITION OVERVIEW
The Volunteer Coordinator reports to the Associate Director of Audience Services and is responsible for recruitment, support, organization and ongoing development of The Freight’s volunteer program. Under the supervision of The Freight’s Event Managers, our volunteers perform an array of duties at events including supporting ingress and egress needs, and enforcing venue policies and procedures. Specific functions include door control, ushering, artist and Freight merchandise sales, classroom check-ins, and assisting patrons with special needs. The Volunteer Coordinator also works with the Associate Director of Production to schedule volunteers for showroom set-up and other operations tasks. The Volunteer Coordinator works with The Freight’s management team to provide volunteer support for other departments as needed.
RESPONSIBILITIES
50% Volunteer Management
- Supervise volunteers and provide direction, coordination, and recommendations for all volunteer functions within The Freight.
- Onboards all volunteers. Provides and collects relevant paperwork.
- Evaluate volunteer performance. Address volunteer performance and behavioral concerns promptly and fairly. Implements corrective action or removal from The Freight’s volunteer program when necessary.
- Ensure that volunteers contribute to a respectful, inclusive environment free from discrimination, harassment, or hostility.
- Act as a single point of contact/liaison for volunteers, resolving grievances, enforcing volunteer standards, promoting accountability, and fostering fairness and enthusiasm for The Freight's mission.
- Explore avenues within The Freight for volunteer participation in collaboration with other departments. Recommend the most efficient use of volunteers, and workforce needs to support volunteer program operations.
- Participate in Event Manager weekly meetings and quarterly all-staff meetings.
- Attend shows and interact with volunteers on a regular basis.
- Maintain in-depth knowledge of volunteer corps and abilities.
- Oversees Volunteer records and any software used for volunteer management
30% Communications, Scheduling and Rewards
- Create a monthly schedule ensuring full volunteer coverage for all shows and events. Communicates schedules with all relevant parties in a fair and timely manner. Schedules volunteer call times in coordination with event needs.
- Collaborate with the Director of Production and other departments to fulfil special volunteer assignments in a fair and timely manner.
- Administer and enforce Volunteer Gold Ticket policies in collaboration with the Box Office.
- Schedule, plan and organize the annual Volunteer Appreciation Event in collaboration with the Associate Director of Audience Services.
- Maintain accurate, fully transparent records, including scheduling methods/details, volunteer contact info, and activity reports on volunteer participation.
10% Training, Policies, and Procedures
- Develop and administer terms of volunteering in a clear, direct way that helps build on the long-term trust between volunteers, patrons, and employees.
- Trains volunteers on Freight policies, standards of conduct, and customer service expectations.
- Assist with development of continuous training procedures for volunteers.
- Assist with development of evacuation procedures and dissemination of such procedures to volunteers.
10% Recruitment
- Working closely with the Associate Director or Audience Services, schedule and plan twice-per-year "onboarding" events for new volunteers including in-person orientation and DEIA training.
- Focus on recruiting and retaining a diverse volunteer pool.
- Identify community outreach opportunities such as fairs, festivals, local markets and other events to reach a diverse pool of potential volunteers.
- Host and attend recruiting events within the community to attract qualified candidates.
- Work with The Freight’s marketing department and other professional associations to publicize opportunities for volunteers.
- Work with event managers to assess new recruits.
- Serve as initial contact for potential volunteer candidates.
SKILLS, KNOWLEDGE & ABILITIES
Required
- Demonstrated effectiveness in management, scheduling and communications.
- Ability to work independently and with minimal supervision.
- Strong customer service focus with diplomatic and mutually supportive communication style.
- Knowledge and comfortability operating Google Suite
- Proven ability to lead and motivate a pool of diverse volunteers with a wide array of additional civic, artistic, professional, and philanthropic roles.
- Ability to work as part of a team, resolving problems, balancing the needs of diverse groups and carrying projects through to completion.
- Strong organizational skills and ability to manage multiple projects in a fast-paced, deadline-oriented environment.
- Effectively utilize information technology, social media, and modern office software including word processing, spreadsheets and scheduling systems.
- Desire to help The Freight create a welcoming, multi-cultural environment that values diversity, equity, inclusion, and accessibility.
Preferred/Desirable
- Experience working in an outreach role
- Experience, appreciation, or familiarity with diverse musical genres and traditions.
- Experience working in performing arts venues or nonprofits
- Experience with scheduling programs
- Experience with Tessitura or other CRMs
