Seeking a Client Intake Assistant to work as a client-facing representative of the firm, handling initial potential client calls and online inquiries.
Duties
- Persistently monitor all potential new client inquiries (email, internet, phone & referrals)
- Immediately contact every lead & establish rapport with potential new client
- Thoroughly document all instances of new client contact.
- Continuously follow up with pending inquiries
- Update logs and reporting systems to reflect status of all potential new clients
- Conduct potential new client interviews with genuine empathy and compassion
- Gather and thoroughly report case facts for Attorney evaluation
- Assist new clients with completing paperwork
- Fax, mail, scan and e-file documents
- Schedule/calendar potential new clients appointments as needed
- Assist with general office duties
- Assist with answering phones and reception duties as needed
- Greet and interview prospective clients to gather essential case information with professionalism and empathy
- Manage initial client inquiries via phone, email, and in-person interactions using excellent phone etiquette and organizational skills
- Assist with legal document review, drafting, proofreading, transcription, and data entry to ensure accuracy and completeness
- Utilize legal case management systems
- Coordinate with attorneys and paralegals to facilitate project management tasks and ensure timely follow-up on client cases
- Support administrative functions including filing, document review, research documentation, and maintaining organized records in compliance with firm policies
Experience
- Prior experience in a law office or legal administrative setting is highly preferred
- Demonstrated knowledge of multiple practice areas especially personal injury law
- Strong research skills
- Experience with legal case management software is advantageous
- Excellent writing skills for drafting correspondence
- Proven organizational skills with the ability to manage multiple priorities efficiently
- Effective communication skills with professional phone etiquette and clerical experience in a fast-paced environment

Pay: $17.00 - $19.00 per hour
