Job Summary
We are seeking an organized and detail-oriented Insurance Assistant to join our team. In this role, you will assist our insurance agents and account managers in providing excellent service to our clients. You will be responsible for handling day-to-day administrative tasks, managing client files, processing policy renewals, and ensuring all documentation meets regulatory standards. While this position is salaried, commission incentives and sales opportunities are available once training is complete.
Duties
- Client Service & Communication: Respond to inquiries via phone and email, explaining coverage options, policy details, and claim statuses in a timely manner.
- Policy Management: Assist with processing new insurance applications, policy renewals, and modifications. Ensure the timely issuance of client documents, including binders, certificates, and Auto ID cards.
- Database Maintenance: Create and update client files in the agency management database, ensuring all records are current and accurate.
- Document Preparation: Prepare correspondence, invoices, and reports, ensuring all details align with company policies.
- Administrative Support: Assist with distributing mail, scheduling client appointments, and ordering office supplies.
Requirements
- Prior office management or clerical experience in a professional setting is preferred
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
- Exceptional phone etiquette and communication skills for handling customer interactions confidently
- Familiarity with multi-line phone systems and front desk operations is advantageous
- Strong typing skills with high accuracy; attention to detail in proofreading documents
- Demonstrated ability to manage time efficiently and prioritize tasks effectively
- Personal assistant or administrative support experience is beneficial but not required
