ABOUT APC ROOFING
APC Roofing LLC is a fast-growing, multi-state roofing company headquartered in Clermont, FL. We operate an Insurance Restoration division and a Legacy/retail division across seven states, with a growing team of sales reps, crew leaders, and field technicians. Our fleet is the backbone of our operations — and we need the right person to help keep it running smoothly.
POSITION SUMMARY
We are looking for a reliable, organized Fleet Coordinator to handle the day-to-day administrative and logistical tasks that keep our vehicle fleet operating across multiple states. This is an entry-level to mid-level role — you do not need a fleet management background, but you do need to be detail-oriented, comfortable on the phone with vendors, and capable of following up consistently without being asked twice.
KEY RESPONSIBILITIES
GPS Monitoring (Samsara)
- Monitor the Samsara GPS platform for fleet-wide alerts and notifications
- Track vehicle locations and flag any unusual activity or policy violations
- Pull location and usage reports for management as needed
Fuel Management (Coast Card Program)
- Administer the Coast fuel card program for all drivers
- Monitor fuel spend by vehicle and driver; flag anomalies
- Reconcile fuel transactions against internal records
- Manage card issuance, spending limits, and driver assignments
Repairs & Preventive Maintenance
- Coordinate all vehicle repairs — from intake to completion
- Manage relationships with repair shops, mobile mechanics, and vendors
- Track open repair orders and follow up to ensure timely completion
- Schedule and track routine maintenance (oil changes, tires, brakes, etc.)
- Keep accurate cost records for each vehicle
Vehicle Recovery & Logistics
- Arrange pickup or drop-off of vehicles when needed for maintenance, breakdown, or employee separation
- Coordinate with sales reps and crew members to retrieve or reassign company vehicles
- Arrange towing or transport services when a vehicle cannot be self-driven
- Track vehicle custody and assignment changes in real time
Insurance & Driver Compliance
- Submit new driver information to our insurance carrier when drivers are added to the fleet
- Ensure driver records and license information are current and on file
- Track vehicle registrations and tags across all operating states
- Resolve toll violations and administrative citations (SunPass, EZPass, etc.)
Fleet Reporting & Records
- Maintain all vehicle records in Fleetio (service history, registrations, documents)
- Produce weekly and monthly fleet status reports for management
- Track vehicle assignments by division, state, and employee
Communication & Coordination
- Serve as the day-to-day point of contact for fleet-related questions from sales reps and crew members
- Coordinate vehicle assignments for new hires and terminations
- Manage trailer inventory and assignment tracking
QUALIFICATIONS
Required
- Strong organizational skills and attention to detail
- Ability to manage multiple follow-ups and tasks simultaneously
- Comfortable making phone calls to vendors, shops, and employees
- Basic computer proficiency — email, spreadsheets, and web-based platforms
- Valid driver's license and reliable transportation
- Must be able to coordinate local vehicle logistics (pickups, drop-offs) as needed
Preferred
- Experience with Samsara or similar GPS fleet tracking platforms
- Familiarity with Fleetio or other fleet management software
- Experience with fuel card programs (Coast, WEX, or similar)
- Background in roofing, construction, or a field-service industry
- Experience in an administrative, logistics, or operations coordination role
WHAT WE OFFER
- $35,000 - 37,500 per year to start, based on experience
