Job Summary
The Marketing & Communications Coordinator supports the execution and coordination of department initiatives by managing workflows, tracking timelines, facilitating communication across teams, and ensuring projects remain organized and on schedule. This position serves as operational support for the department, helping coordinate campaigns, launches, events, communications initiatives, and day-to-day priorities in a fast-paced environment.
The ideal candidate is an organized problem-solver who can manage multiple projects simultaneously, maintain attention to detail, and proactively move work forward across internal departments and external stakeholders. Experience in marketing, communications, project coordination, public transportation, government, or related fields is preferred
Primary Responsibilities
. Coordinate day-to-day workflow and project execution for Marketing & Communications initiatives.
· Manage project timelines, assignments, and deliverables using project management tools (e.g., Asana).
· Track progress across campaigns and initiatives and follow up with internal teams to maintain deadlines.
· Facilitate communication and coordination between departments, external partners, vendors, and stakeholders.
· Assist with planning and execution of marketing campaigns, launches, events, and community engagement activities.
· Prepare meeting agendas, document action items, and monitor follow-through on assigned tasks.
· Organize and maintain department files, calendars, project documentation, and creative assets.
· Support development and coordination of marketing and communications materials and content requests.
· Assist with scheduling and logistics related to media opportunities, events, meetings, and campaign activities.
· Monitor incoming requests and help prioritize department workload and resource allocation.
· Maintain project status updates and provide regular reporting on initiative progress.
· Support administrative and operational functions of the department as needed.
Qualifications
Education & Experience
- Bachelor’s degree in Marketing, Communications, Public Relations, Business Administration, Project Management, Public Administration, or related field preferred.
- 2–5 years of professional experience in marketing, communications, project coordination, public transportation, government, public sector, agency, or related environments.
- Experience supporting multiple projects simultaneously in a fast-paced environment.
- Experience coordinating cross-functional teams and managing deadlines preferred.
- Strong sense of urgency and follow-through preferred
Knowledge & Skills
- Strong organizational and project coordination skills with demonstrated ability to manage competing priorities.
- Must have strong organization and attention to details.
- Ability to track timelines, maintain project documentation, and drive follow-through across stakeholders.
- Strong written and verbal communication skills.
- Experience using project management and collaboration platforms (e.g., Asana, Monday.com, Trello, Microsoft Planner, or similar).
- Ability to work independently while supporting a collaborative team environment.
- Proficiency in Microsoft Office Suite and cloud-based collaboration tools.
- Familiarity with marketing, communications, public engagement, events, or campaign execution preferred.
- Knowledge of public transportation, government, or community-focused organizations is a plus.
