Position Summary
We are seeking a highly dependable and well-organized Office Assistant to assist with the daily operations of our rapidly growing pool service company. This role is responsible for supporting customer interactions, scheduling, invoicing, and general office administration. This role is also integral in supporting our field team to ensure smooth day-to-day operations and exceptional customer experiences.
The ideal candidate is customer-focused, has exceptional communication and interpersonal skills, is well-organized, has high attention to detail, and is excited about thriving in a fast-paced growth environment.
Key Responsibilities
Customer Service & Communication
- Answer incoming phone calls, emails, and text messages
- Responding immediately to new customer inquires
- Assist customers with scheduling, billing questions, and service requests
- Maintain professional and positive communication with clients
- Timely follow up with customers regarding repairs, estimates, and service updates
Scheduling & Operations Support
- Coordinate and manage technician schedules and routes
- Assist with scheduling weekly pool service, repairs, and filter cleans
- Coordinate and communicate schedule changes and service updates to technicians and customers
- Monitor service completion and assist with operational follow-ups
Administrative Duties
- Create and send customer invoices
- Process payments and maintain customer accounts
- Organize digital files, work orders, and customer records
- Assist with data entry and reporting
- Support payroll tracking and basic bookkeeping tasks as needed
Team Support
- Assist management with operational projects and growth initiatives
- Help onboard new customers and employees
- Maintain office organization and supply inventory
- Support a positive and team-oriented work environment
Qualifications
- Previous operations support, customer service or office administration preferred
- Strong organizational and multitasking skills
- Excellent verbal and written communication skills
- Highly proficient with computers, email, and scheduling software
- Ability to work independently and solve problems
- Experience in pool industry is a plus, but not required

Pay: $18.00 - $22.00 per hour
