What You'll Do
As Executive Coordinator, you'll work directly with company leadership while helping coordinate office operations, customer communication, and project support across the organization.
Executive Coordination
- Partner with leadership to manage daily priorities and executive initiatives.
- Coordinate calendars, appointments, meetings, and travel arrangements.
- Prepare reports, meeting materials, presentations, and other executive documents.
- Act as a communication hub between leadership, employees, customers, and vendors.
Operations & Project Support
- Help coordinate projects from initial scheduling through completion.
- Support project tracking to ensure deadlines and priorities remain on schedule.
- Maintain organized records using QuickBooks, CRM platforms, and company software.
- Improve administrative processes that help the office operate efficiently.
Client Experience
- Serve as a professional first point of contact for customers by phone and email.
- Build strong relationships through exceptional communication and follow-through.
- Assist customers throughout each phase of the project process.
Office Administration
Responsibilities may include:
- Scheduling appointments and qualifying new leads.
- Supporting daily office operations and administrative workflows.
- Managing Google Calendars and project schedules.
- Processing payroll accurately and efficiently.
- Ordering office and project materials.
- Maintaining accurate electronic records.
- Assisting leadership with special projects and company initiatives.
