Position Title: Director of Finance
Classification: Non-Exempt
Reports to: Lead Pastor
Critical Relationships: Council Treasurer, CYF Pastor
Status: Part time (8-12 hrs/wk)
Job Summary: Provide responsible fiscal management for the investments of the church, the annual income and expenses of OSLC, and any special projects as directed by the Planning Council.
Essential Functions:
Weekly
- Record cash/check deposits in QuickbooksDeposit spreadsheet as received from the office manager.
- Record Breeze electronic net bank transfers in Quickbooks
- Cut and print checks in Quickbooks For Bills recorded in Quickbooks for utilities, service contract invoices, etc, received in the mail or via email. Print checks for payment voucher requests, to Portico for employee benefits, to Accompanists, for Pass through payments received, for Employees paid by check, etc.
- Attach documentation to checks and provide to appropriate individuals with authority to review and sign; mail payments. File accordingly.
Bi-Weekly
- Receive hours from hourly employees via email, pull employees’ payroll withholdings (benefits) from Portico online and Process payroll in Quickbooks
- Pay Federal and MN payroll taxes in Quickbooks
- Set-up any new employees and make any changes for current employees in Quickbooks
Monthly
- Receive credit card statements from staff with receipts attached and account numbers assigned to each credit card expense and record expenses to appropriate expense accounts in Quickbooks
- Pay credit card balances monthly on our Bank of America online banking account
- Provide Financial Statements & Support to Planning Council/Treasurer
- Create Profit & Loss, Cash Flow and Balance Sheet statements for monthly planning council meetings
- Analyze reports and provide notes to Planning Council Treasurer
- Email reports to Planning Council Treasurer and Lead Pastor
- Upload reports to One Drive.
- Monthly Reconcile/review Quickbooks account balances
- Bank Accounts & Credit Card Balances
- Payroll Liabilities
- Restricted Accounts
- Loan submissions and payments
Quarterly Payroll Filings
- Submit quarterly Federal and MN payroll tax filings in Quickbooks
Annual
- Provide W-2’s to employees in January
- File 1099’s in Quickbooks in January.
- Submit all annual payroll tax filings in Quickbooks in January/February.
- Yearly budget
- Provide staff members with budget report (Nov - Jan) including YTD actuals and prior year budget at Quickbooks account level (not including staff payroll and benefit account detail)
- Calculate proposed budget amounts for Finance, Utilities, Facility Maintenance, Insurance, Improvements accounts based on prior year actuals and adjusted for an annual increase and any known changes.
- Go through budget by account (not including staff payroll and benefits accounts) at staff budget meeting and populate proposed budget report.
- Work with Lead Pastor and Planning Council Treasurer on any changes to budget for staffing
- Be available at annual meeting for questions.
- After budget is approved, create a monthly budget for Profit & Loss Statement for next fiscal year.
- Complete and submit annual workers compensation audit to insurance company annually.
Ad Hoc
- Create Ad-Hoc reports and answer questions as requested
- Financial projects/issues as they come up (ie Loan applications and managing loan funds, Insurance Claims, etc)
- Provide financial support to staff and be available for questions.
Minimum Qualifications:
- Proven experience managing the accounting responsibilities in a small business or non-profit organization
- Knowledge of Microsoft Office Suite (Word, Publisher and Excel); Google Docs
- Ability to learn and manage automated systems
- Works independently with minimal direction
- Excellent customer service, communication and interpersonal skills
- Excellent organizational skills
- Maintain confidentiality
- Ability to collaborate with various groups working for the same goal
- Train volunteers for various aspects of office support
Physical Requirements:
- Must be able to remain in a stationary position more than 50% of the time.
- Must be able to move about within the office and bend, crouch, or stoop as needed.
- Operate office equipment like a computer, telephone, printer.
- Be able to effectively communicate and receive information (verbally and in writing).
- Move boxes up to 30 pounds.
Pay: $27.00 - $30.00 per hour
