Overview
We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our busy office environment. Duties
- Support the timelines and organization of regulatory requirements – EPA, Fire Department, Permits
- Coordinate and drive milestones for ISO audits with other team members
- Qualify customers and create the necessary forms and applications to move ahead
- Be the point of contact for organizing customer and partner visits and meetings
- Be the first point of contact for HR related matters such as, but not limited to, hiring forms, onboarding, insurance renewals, PTO, and general employee relations
- Provide accounting support as requested by the companies’ accountant
- Correspondence: Draft, proofread, and distribute high-level correspondence, memos, and reports on behalf of leadership.
- Confidentiality: Handle sensitive corporate and personnel information with utmost discretion and professionalism.
- Guest Services: Greet VIPs, clients, and investors with a professional, high-touch, concierge-level welcome.
- Events Coordination: Plan and execute corporate events, board gatherings, team-building activities, and large-scale company townhalls.
- Onboarding: Assist HR with administrative onboarding for new hires, including desk allocation, security badges, and system setup.
- Proficiency in: Microsoft Office Suite, Google Workspace, and Quickbook.
- Soft Skills: Exceptional organizational and project management skills, along with strong written and verbal communication.
- Mindset: A proactive, adaptable hospitality mindset to seamlessly balance competing executive and operational priorities.
Qualifications
- Proven experience in office management or administrative roles with strong organizational skills and attention to detail
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and familiarity with productivity software tools
- Excellent computer literacy with the ability to perform data entry accurately and efficiently
- Experience handling multi-line phone systems and demonstrating professional phone etiquette
- Bilingual abilities are highly desirable to support diverse client needs and internal communication
- Previous experience in customer service or front desk roles within medical or dental offices is a plus
- Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
- Knowledge of bookkeeping procedures using QuickBooks or similar accounting software is advantageous
- Demonstrated ability to maintain confidentiality while managing sensitive information effectively
