Accounts Payable Specialist

Position Summary
The Accounts Payable (AP) Clerk is a fundamental position within the finance department, responsible for overseeing the comprehensive lifecycle of accounts payable operations. This role ensures the meticulous processing, accurate fiscal coding, and timely settlement of vendor obligations and employee expense claims. As a key contributor to our regional operations, the AP Specialist maintains the financial integrity and operational resilience of the organization across the "Wyobraskarado" service area.
Key Responsibilities
- Invoice Management: Receive, verify, and process vendor invoices, ensuring they are matched with appropriate purchase orders and authorized approvals.
- Data Entry: Accurately enter financial data into QuickBooks Online, ensuring proper general ledger coding and tracking.
- Expense Reimbursement: Manage employee expense reimbursements using the Ramp platform, ensuring compliance with company travel and expense policies.
- Digital Recordkeeping: Maintain an organized central repository of digital financial records using Google Workspace and Adobe Pro to ensure easy retrieval and audit readiness.
- Vendor Relations: Act as a primary point of contact for vendor inquiries regarding payment status, resolving discrepancies in a professional and timely manner.
- Compliance: Adhere to internal controls and financial policies to safeguard company assets and ensure reliability of financial data.
- Administrative Support: Assist the Controller with monthly closing activities and special projects as assigned.
Qualifications
- Education: High school diploma required; Associate’s degree in Accounting, Finance, or Business Administration preferred.
- Experience: Minimum of 1–3 years of experience in an accounts payable or general administrative role.
- Software Proficiency: Strong familiarity with QuickBooks Online and Google Workspace (Docs/Sheets) is essential. Experience with Ramp or similar expense management systems is a plus.
- Technical Skills: High degree of accuracy in data entry and strong attention to detail.
- Aptitude: Ability to read and interpret basic contractual terms and lease agreements.

Base Pay
$21-$24 based on experience
