Minimum qualifications:
- Spanish Speaking (Required)
- At least 1 year of experience in scheduling, healthcare administration, or ABA services (Required)
- Experience may be substituted for the educational requirements at the discretion of agency directors.
Key Responsibilities & Duties:
- Coordinate and maintain schedules for clients and Clinical staff
- Match staff availability with client needs while optimizing schedules and productivity.
- Communicate schedule changes, cancellations, and coverage needs with families and clinical staff.
- Assist with onboarding new clients by coordinating therapy schedules.
- Monitor open availability and proactively fill schedule gaps.
- Collaborate with Supervisor and Clinical teams to ensure continuity of services.
- Respond to scheduling inquiries in a timely and professional manner.
- Maintain accurate scheduling records in the company's scheduling system.
- Coordinate scheduling process and needs with multiple clients and levels of staff by adhering to various guidelines such as funding source requirements, HR laws such as meal period breaks and overtime, minimizing mileage and drive time by zoning.
- Maintain confidentiality in all aspects of client, staff, and company information
- Ensure clients are scheduled at 100% of recommended hours and maintain company standard of contract fulfillment
- Utilize strong customer service skills to ensure 100% client satisfaction
- Track and analyze cancellations, make-ups; minimize cancellations and missed sessions by rerouting or rescheduling clinical staff and schedule make-ups for cancellations
- Plan in advance and foresee any problems that might arise as well as plan for holiday breaks
- Communicate and maintain positive relationships with clients, Funders, Clinical team and admin team.
- Execute all communication in a prompt, accurate, professional and courteous manner

Rate: $23 to $25 per hour
