Overview of the Position:
Front Office Check-in/Receptionist entry level position will be responsible for answering and directing calls, ensuring the proper flow of correspondence and providing general office support with a variety of clerical activities and related tasks.
Essential Duties / Functions / Responsibilities of the Job:
Welcomes and greets patients/clients/visitors when they enter the office.
Maintains patient waiting areas, office charts, and front-desk areas in a manner that is organized and neat.
Coordinate the pick-up and delivery of express mail services and assist patients picking up various items.
Answer all incoming calls and route them to the appropriate staff or take and retrieve messages for various personnel.
Schedules and enters patient appointments into the office schedule.
Register patients in the practice management system and ensure all paperwork is completed and received.
Scan all paperwork in the EMR system and/or file paperwork in the chart.
Monitor the workflow process to ensure the patient is called in a timely manner.
Manage all EMR emails and updates sent by the patient.
Follow up on “no show” patients on a daily basis.
Communicate patient’s problem/complaint to the office manager or physician.
Supports the Insurance Verification clerk as back up and handles all insurance verification duties.
Supports the Check-out clerk as back up and handles all check-out administrative duties.
Answers general patient questions.
Maintains work operations by following policies and procedures; reporting compliance issues.
Other related duty as the job requires and/or that is requested by the Office Manager.
Monitor and distribute incoming faxes and ensure appropriate action is completed.
Educational / Experience Requirements / Qualifications:
Bilingual in Spanish is a plus
High school diploma or equivalent
Experience is a preference but training is available.
Out going person who is friendly and energetic and finding it easy and enjoyable to greet patients.
Able to perform tasks with attention to accuracy and speed
Able to prioritize and organize work under minimal supervision
Able to handle more than one task at a time
Able to work under pressure and set priorities
Able to document findings accurately and legibly
Able to communicate ideas and directions and give patient instructions in a pleasant, effective, and appropriate manner
Works well with co-workers as part of the team
Physical Requirements:
While performing the duties of this job, the employee is regularly required to talk, hear, stand, walk, sit, use hands to finger, handle, or feel and reach with hands and arms
Occasionally required to stoop, kneel, crouch, or crawl
Occasionally required to lift up to 20 pounds
