Overview
The Office Administrator serves as the administrative hub of Bridge of Grace Ministries and plays an important role in keeping our organization running efficiently, professionally, and with excellence.
This position supports staff and organizational leadership while overseeing a wide range of administrative responsibilities including office operations, donor database management, Board support, volunteer administration, events, organizational records, and hospitality.
We're looking for someone who is highly organized, takes initiative, enjoys serving others, and can independently work through challenges and find solutions. The right person will be comfortable managing multiple priorities and an administrative resource for our organization.
Duties
- Serve as the first point of contact and welcoming face of Bridge of Grace Ministries, greeting guests, donors, volunteers, community partners, and visitors with professionalism, warmth, and hospitality.
- Manage daily office operations, including the main phone line, general email inbox, office calendar, meeting spaces, supplies, mail, shipping, deliveries, and vendor services.
- Serve as administrator for our donor database.
- Coordinate Board of Directors meetings, including scheduling, meeting materials, hospitality, minutes, and Board records.
- Provide administrative support to the Executive Leadership Team.
- Coordinate volunteer onboarding, documentation, record keeping, and reporting.
- Coordinate tours, partner meetings, special events, trainings, and ministry gatherings.
- Manage workflows, organizational forms, SOPs, files, and document retention.
- Support grant administration by organizing documentation.
- Coordinate new employee onboarding.
- Maintain vendor agreements, subscriptions, memberships, licenses, and renewals.
- Maintain nonprofit organizational profiles and reporting requirements.
- Help coordinate communication and administrative needs across departments.
- Identify opportunities to improve administrative systems, organization, and efficiency.
- Support additional administrative projects and organizational needs as they arise.
Qualifications
- Bachelor's degree in Business Administration, Nonprofit Management, Organizational Leadership, or a related field (preferred).
- Experience in office administration, operations, executive support, nonprofit administration, or a related field (preferred).
- Exceptional organizational, time-management, and attention to detail skills.
- Strong written, verbal, and interpersonal communication skills.
- Ability to anticipate needs, identify challenges, think critically, and implement solutions with minimal supervision.
- High degree of professionalism and discretion to handle confidential information.
- Proficiency with Microsoft 365, including Outlook, Word, Excel, Teams, and SharePoint.
- Comfortable learning and managing technology and administrative systems.
- Ability to work independently while collaborating effectively with staff, leadership, volunteers, donors, partners, and vendors.
- Commitment to the mission, vision, and Christian values of Bridge of Grace Ministries.
- Bilingual proficiency in English and Spanish is preferred.
Schedule & Work Expectations
This is a full time salaried position with standard hours of Monday through Friday, 8:00 a.m.–5:00 p.m. Some flexibility is required to support occasional organizational events, Board meetings, or activities that occur during evenings or weekends.
Pay: $42,500.00 - $45,700.00 per year
