Job Summary
The Workplace Experience Coordinator is the heartbeat of the Indianapolis office — the first face visitors see and the go-to person employees rely on for a smooth, well-run workplace. This role blends front-of-house hospitality with day-to-day operations, helping elevate Luminaut’s brand and culture while keeping the office running efficiently. We’re looking for someone upbeat and positive, with strong judgment, a high level of professionalism, and the ability to maintain confidentiality on sensitive matters. Occasional travel to the Cincinnati office may be required.
Responsibilities
Front Desk & Visitor Experience
· Greets visitors warmly and connects them with the appropriate team member
· Answers and routes incoming calls, providing accurate information to general inquiries
· Manages daily office security, including opening/closing procedures
· Distributes incoming mail and packages
Office Environment & Operations
· Maintains the professional appearance and overall upkeep of the office, including kitchen, storage, supply, and print areas
· Orders office, kitchen, and printing supplies. Stocks supplies to appropriate areas upon delivery
· Serves as primary point of contact with the building manager for maintenance and repair needs
· Maintains the interiors resource library and helps coordinate vendor lunch-and-learns
Scheduling & Coordination
· Manages conference room calendars and schedules team meetings
· Tracks employee schedules/whereabouts to respond to internal inquiries
· Coordinates conference room setup and catering for meetings and events
· Assists with planning and execution of internal or external office events including set up and break down of food, drinks & decorations
HR & Administrative Support
· Supports HR with new-hire onboarding and employee offboarding logistics
· Assists the accounting team as needed with invoice entry, expense reports, and administrative tasks

Pay: $55,000.00 - $65,604.39 per year
