Overview
We are seeking a professional and hospitality-driven Office Coordinator/Administrator to support a high-touch corporate office environment. This individual will play a key role in creating a welcoming, organized, and efficient workplace experience for employees, visitors, candidates, vendors, and senior leadership.
This is a highly visible role that blends front office support, workplace operations, event coordination, employee experience, and day-to-day administrative support. The ideal candidate is proactive, detail-oriented, service-minded, and comfortable managing multiple responsibilities in a fast-paced environment.
The ideal candidate has prior experience supporting office operations within a corporate environment and can confidently manage workplace activities, event coordination, vendor interactions, and recurring administrative responsibilities with limited oversight.
Key Responsibilities
Front Office & Administrative Support
· Serve as a welcoming and professional point of contact for employees, visitors, candidates, vendors, and executives while creating a polished and hospitality-driven office experience
· Monitor, organize, and proactively maintain office supplies, snacks, beverages, mail, packages, and shared workplace areas while communicating inventory and operational needs in a timely manner
· Assist with office access, badge/key fobs, workspace planning, maintenance requests, office repairs, and other day-to-day workplace operations
· Manage conference room schedules, shared calendars, and event space reservations
· Utilize internal systems and tools, including SharePoint and ServiceNow, to support office administration and operational processes
· Manage multiple recurring administrative and operational responsibilities simultaneously while maintaining strong organization, accuracy, and follow-through
Event & Employee Experience Support
· Coordinate onsite meetings, team lunches, office events, employee engagement activities, and workplace celebrations, including catering, vendor coordination, room setup, and event logistics
· Foster a welcoming and hospitality-focused workplace experience by anticipating employee and guest needs and maintaining conference rooms, café areas, and shared spaces
· Independently manage recurring workplace activities and administrative support functions to ensure smooth day-to-day operations
Facilities & Vendor Coordination
· Partner with the Office Manager, Facilities team, building management, and vendors to support office operations, maintenance requests, workplace projects, deliveries, and operational needs
· Support office compliance, operational procedures, and workplace standards
Qualifications
· 3+ years of experience in an Office Coordinator, Office Administrator, Workplace Experience, Office Manager, or similar corporate office support role
· Professional presence with the ability to confidently interact with executives and senior leadership
· Demonstrated experience supporting day-to-day office operations, including workplace logistics, vendor coordination, office events, meetings, and catering
· Strong customer service, communication, and interpersonal skills with the ability to professionally interact with employees, visitors, vendors, and senior leadership
· Strong organizational skills, attention to detail, and ability to manage multiple priorities in a fast-paced environment
· Strong proficiency with Microsoft Outlook, Teams, Word, Excel, and other workplace technologies; experience with SharePoint and ServiceNow is a plus
· Ability to work independently, take ownership of responsibilities, and quickly contribute across office operations, workplace support, and administrative functions
· Must be legally authorized to work in the United States without sponsorship
Pay: $21.00 - $24.00 per hour

Work Location: In person
