Overview
Serve as the primary point of contact for incoming business communications by answering, screening, and directing phone calls. Assist customers with general inquiries, including order status, billing, and invoice questions. Support daily operations through accurate sales data entry and order processing. Provide administrative and sales support to the sales representatives via phone, email and fax. Perform a variety of clerical, office, and project-related tasks while maintaining a professional company image through all interactions. Strong communication skills and exceptional attention to detail are essential for success in this role.
- Answer and route incoming calls while assisting customers with pricing, order status, billing inquiries, and message taking.
- Enter and update customer orders in QuickBooks as directed.
- Provide product and service information to customers.
- Research and resolve customer concerns using effective communication and computer skills.
- Follow-up on unresolved customer inquiries in a timely manner.
- Communicate with Sales Representatives and customers to clarify and interpret order details.
- Prepare and maintain production materials, including customer welcome packets.
- Maintain accurate customer records within computerized database system.
- Demonstrate professionalism, punctuality, reliability and strong attention to detail.
- Build and maintain positive working relationships with employees, reps and customers.
- Maintain and utilize database tracking system.
- Perform general clerical duties such as filing, photocopying, and faxing.
Knowledge and Skill Requirements:
- Prior customer service experience required.
- Experience with QuickBooks or similar accounting software preferred.
- High school diploma or equivalent required.
- Strong listening, reading, writing, and basic math skills required.
- Proficiency in Microsoft Office and strong computer/keyboard skills; 10-key by touch preferred.
- Strong attention-to-detail and a positive, professional attitude.
- Organizational and time management skills required.
- Ability to work independently and meet deadlines.
- Attendance and punctuality are essential for this role.
- Availability during established business hours required.
Working Conditions:
- Standard office environment with typical office working conditions.
Pay: $17.00 - $18.00 per hour
