Assumes responsibility for the District’s substitute process and performs specialized clerical tasks and administrative duties as required.

Computer Proficiency: Demonstrated general proficiency in computer programs including Microsoft Excel and Word.
Knowledge, Skills & Abilities:

Essential Duties & Responsibilities:
Maintains district substitute office and assists in maintaining the Human Resources office in a professional, organized, and efficient manner.
Receives, screens and processes district substitute employment applications.
Meets with certified, support staff, and custodial substitute candidates, completes all federal-, state- and district-required employment documentation and provides training on substitute assignment procedures.
Prepares recommendations for substitute hire/termination for board action.
Makes all initial contacts with principals, administrative assistants, and substitutes regarding substitute assignments.
Maintains all personnel records on substitutes including records on days worked for payroll purposes.
Maintains and coordinates web-based absence management program for substitute scheduling.
Assists with web-based employment application program and web-based personnel records database.
Processes security background checks and fingerprinting for all volunteers.
Processes security background checks for volunteers and non-employee coaches to include initial submission of pertinent information and documentation, receipt, monitoring, and filing all confidential information.
Completes all federal-, state- and district-required employment documentation for coaches who are non-permanent employees.
Orders office supplies and enters all purchase orders for the Human Resources office.
Assists with the Immersion Student Program.
Coordinates the annual District retirement reception.
Coordinates the annual FWEF Homecoming Festival event.
Reviews Family and Medical Leave Act (FMLA) requests from employees to determine eligibility according to federal laws. Prepares and disseminates any necessary forms and maintains FMLA records.
Assists with preparing Support Personnel Action Requests (SPARS) for new employees (and current employees transferring to new positions) and initiating all paperwork and necessary documentation for the Business Office personnel to process new employees.
Assists with maintaining all physical personnel records and shredding of inactive files according to state and federal requirements.
Assists with creating customized ad submissions to local advertising agencies for job openings.
