Role Summary You will be the face of the company for homeowners and board members. Your goal is to keep the office running smoothly by handling phone calls, greeting visitors, and processing the administrative paperwork that keeps our associations compliant. This is a great role for someone who is organized, patient, and comfortable learning new software.
Key Responsibilities:
1. Front Desk & Resident Support
- Reception: Greet homeowners, board members, and vendors in a professional, friendly manner (via phone, email, and walk-ins).
- Inquiries: Answer general questions and assist residents with sensitive matters with patience and professionalism.
- Payment Support: Assist residents with basic billing inquiries (e.g., checking account balances, confirming payment receipt) and coordinate with our accounting team when necessary.
2. Maintenance & Compliance
- Vendor Dispatch: Receive maintenance requests from residents, create work orders, and contact vendors (plumbers, landscapers, etc.) to schedule repairs.
- Violation Processing: Assist Property Managers by generating and mailing violation notices and compliance letters based on community inspections.
- Follow-Up: Monitor open work orders to ensure jobs are completed and residents are updated.
3. Data Entry & Office Admin
- Record Keeping: Maintain accurate records in our software (Condo Control), including owner contact info, leases, and vehicle registrations.
- Meeting Support: Assist with scheduling meetings, preparing packets, and maintaining community calendars.
- General Admin: Ensure the front office follows company policies, handle incoming mail, and keep the reception area organized.
Qualifications
- Customer Service: Strong communication skills (written and verbal). You must be able to maintain a courteous and dependable demeanor, even when dealing with difficult situations.
- Organization: Excellent attention to detail and the ability to manage multiple tasks (phones, email, and walk-ins) without losing track.
- Tech Skills: Proficiency with email (Gmail) and Microsoft Office/Google Docs is required. Ability to learn property management software (Condo Control) is essential.
- Reliability: Punctual and consistent attendance is required for this position.
Pay: $17.00 - $18.00 per hour
