About the Role
We are looking for a well-organized, people-oriented administrator who is keen on office administrative work to be the operational backbone of our U.S. team. You will work directly with the CEO and across teams — Customer Success, Sales, Finance, and Marketing — owning day-to-day administrative and HR tasks, managing employee benefits through our PEO, supporting our sales team on RFP documentation, and coordinating the logistics of our marketing materials stored in the Dallas area.
This is a remote position, but you must live in or near West Dallas: roughly 20 hours per month involve managing access to our Extra Space Storage unit and coordinating inbound and outbound shipments of marketing materials with our Dallas logistics partner and Marketing Event Manager. No heavy lifting is required — this is access management and coordination work.
What You'll Do
Administrative & HR (majority of your time)
- Run day-to-day administrative operations, document management, and company record-keeping.
- Work directly with the CEO on administrative priorities and coordinate across all teams.
- Administer U.S. HR processes end to end: onboarding, offboarding, employee records, and compliance.
- Manage payroll and benefits through our PEO (ADP or similar), including open enrollment and employee benefit questions.
- Serve as the trusted point of contact for employees — someone people can genuinely talk to about HR matters.
- Handle company registrations and state filings, keeping them current.
- Work directly with our CPA to gather and deliver essential financial and compliance documents.
- Support the sales organization during RFP processes by preparing and submitting required company documentation.
- Coordinate with Customer Success, Sales, and Finance on accounts receivable — reaching out to customers when invoices are due or past due.
Marketing Logistics (~20 hours/month)
- Manage access to our marketing material storage unit at Extra Space Storage in the Dallas area.
- Coordinate outbound shipments of marketing materials for events with our logistics contractor.
- Receive and check in inbound materials returning to storage.
- Work closely with our Marketing Event Manager to keep inventory organized and event-ready.
What You Bring
Required
- 3+ years of experience in HR administration, office management, or business operations at a U.S. company.
- Working knowledge of U.S. HR processes, employment compliance, and benefits management.
- Hands-on experience with a PEO or payroll/HR platform such as ADP, TriNet, Justworks, or similar.
- Experience with company registrations, state filings, and coordinating with external accountants or CPAs.
- Strong organizational skills and the ability to juggle admin, HR, and logistics priorities independently.
- Warm, discreet, and approachable — employees should feel comfortable coming to you.
- Located in or near West Dallas, TX, with reliable transportation for storage-unit visits.
Nice to Have
- Experience supporting sales teams with RFP or proposal documentation.
- Familiarity with event logistics or inventory coordination.
- Experience in a startup or small-company environment where you wear multiple hats.
Compensation & Benefits
- $55,000 – $68,000 annual salary, commensurate with experience.
- Full-time W-2 role with benefits (health coverage, PTO, and more) administered through our PEO.
- Fully remote day-to-day, with flexible scheduling around monthly storage and shipping coordination.
Pay: $55,000.00 - $68,000.00 per year
