We are seeking a highly organized and proactive Office Administrator to support our CEO, brokerage team, and department leaders while helping facilitate the daily operations of our growing firm. This individual will work closely with key team members and will provide administrative and organizational support that helps keep projects, communications, and workflows running smoothly.
Position Summary: The Office Administrator will play a critical role in supporting the CEO and Commercial Real Estate brokerage team by coordinating deal flow, managing listing administration, assisting with internal workflow processes, and supporting key company initiatives. This individual will serve as a central point of coordination for administrative operations, helping ensure that listings, transactions, marketing projects, and internal processes move efficiently and on schedule.
The Office Administrator will work closely with department leaders, including the Marketing Content Coordinator and Transaction Manager, providing organizational and administrative support to help the team operate effectively. This position requires exceptional attention to detail, strong communication skills, and the ability to manage multiple priorities in a fast-paced, collaborative environment.
Key Responsibilities
Executive & Administrative Support
- Manage and maintain the CEO's calendar, appointments, and scheduling priorities.
- Coordinate meetings, appointments, and internal communications.
- Assist with special projects and company initiatives.
Listing & Transaction Administration
- Process and manage all Exclusive Listing Assignments.
- Prepare, review, and redline commercial real estate documents.
- Maintain accurate records of listings, transactions, and brokerage activities.
- Support brokers throughout the listing and transaction process.
Workflow & Operations Management
- Oversee the company's internal workflow systems and processes.
- Ensure deadlines, deliverables, and administrative procedures are completed accurately and on time.
- Develop and improve operational procedures to enhance efficiency and organization.
Marketing & Vendor Coordination
- Coordinate with third-party vendors, including:
- Drone photographers
- Videographers
- Marketing professionals
- Signage vendors
- Track and process company marketing announcements, listing updates, and closed transaction reports.
- Manage and maintain company listings across commercial real estate platforms, including:
- CoStar, Crexi, Loopnet
- Assist with marketing initiatives as needed.
Reporting & Event Planning
- Maintain company tracking reports for listings, transactions, and marketing activity.
- Assist in planning and coordinating company events, networking functions, and client appreciation events.

Preferred Experience
- Previous Office Administrator, Executive Assistant, Transaction Coordinator, or Administrative Professional experience.
- Real Estate experience preferred.
- Familiarity with CoStar, CREXi, LoopNet, or other commercial real estate platforms is a plus but not required.
