Position Overview
We are hiring a proactive, detail-oriented Operations Assistant to support our daily B2B operations including order processing, logistics, inventory, and administrative support. This role is an ideal opportunity for someone looking to grow into a career in supply chain or operations management within a collaborative and fast-paced environment.
Key Responsibilities
Order & Fulfillment Support
- Enter and manage customer orders using WMS/ERP systems
- Monitor and follow up on Purchase Orders (POs)
- Prepare packing lists, invoices, BOLs, and shipping documentation
- Coordinate with warehouse on custom labeling, palletizing, and repackaging tasks
Logistics & Supply Chain Coordination
- Arrange freight quotes and book shipments (air, ocean, truck)
- Track shipments and resolve any in-transit delays or issues
- Coordinate receiving, quality check, and warehouse intake
- Handle vendor shipping timelines and freight documentation
Customer & Sales Support
- Communicate with clients regarding order status, lead time, returns, and general inquiries
- Assist sales team with quotations, product spec sheets, and lead tracking
- Maintain accurate customer records and credit terms
Purchasing & Inventory
- Monitor vendor production schedules
- Process POs and payment documents
- Assist with inventory cycle counts and stock level reviews
Administrative & Trade Show Support
- Prepare materials and product samples for trade shows and internal sales meetings
- Coordinate booth logistics, bookings, and product shipments
- Maintain meeting notes and follow-up task lists
- Support office supply procurement and internal filing
System & Data Management
- Use Excel/Google Sheets for order and inventory analysis
- Organize shared folders, update product databases
- Assist with B2B/e-commerce platform uploads
Qualifications
- High school diploma required; associate’s or bachelor’s degree preferred
- Bilingual in Mandarin Chinese & English preferred
- Candidates with valid U.S. work authorization are preferred
- Proficient in Microsoft Excel and general office software
- Strong attention to detail, excellent communication skills
- Team-oriented with a can-do attitude
Schedule & Benefits
Hours: Monday–Friday, 9:00 AM – 6:00 PM (1-hour lunch)
2-month probationary period for Full-Time

物流与供应链协调
- 获取物流报价并预定运输(空运、海运、卡车)

- 协调收货、质检及入库流程
- 处理供应商出货时间表和运输文件
客户与销售支持
- 与客户沟通订单状态、交期、退货及一般询问
- 协助销售团队处理报价、产品规格表及线索跟进
- 维护客户资料及信用条款
采购与库存
- 跟进供应商生产进度表
- 处理采购订单及付款文件
- 协助盘点及库存水平分析
行政与展会支持
- 准备展会及内部销售会议的资料与样品
- 协调展位物流、预定及产品运输
- 整理会议记录及跟进任务清单
- 协助办公用品采购与内部档案管理
系统与数据管理
- 使用 Excel/Google Sheets 进行订单和库存分析
- 整理共享文件夹并更新产品数据库
- 协助 B2B/电商平台(如 Faire、JOOR)上传产品资料
任职要求
- 高中学历必需,专科或本科学历优先
- 中英文双语者优先
- 拥有美国合法工作许可者优先
- 熟练使用 Microsoft Excel 及办公室相关软件
- 注重细节,沟通能力强
- 具备团队合作精神及积极主动的工作态度
工作时间与福利
- 工作时间:周一至周五 9:00 AM – 6:00 PM(含 1 小时午休)
- Full Time 试用期:2 个月
