Job Overview:
We are seeking a highly organized and detail-oriented Office Manager to oversee daily administrative, payroll, bookkeeping, and office operations for a busy construction-related organization in Spring Valley, NY.
This role is ideal for someone who enjoys wearing multiple hats, improving processes, and helping modernize office operations through technology and efficiency improvements. The successful candidate will play a key role in supporting leadership while maintaining accurate financial records and ensuring the office runs smoothly.
Office Manager Responsibilities:
Manage daily office operations, communications, recordkeeping, scheduling, and administrative support functions
Process payroll, maintain financial records, perform bank reconciliations, and support bookkeeping and reporting activities using QuickBooks Desktop
Prepare, organize, and maintain contracts, forms, reports, and other business documents while ensuring confidentiality and accuracy
Maintain office files, databases, and electronic records, including transitioning paper-based processes to digital systems
Coordinate with staff, contractors, and other stakeholders while providing professional customer service and office support
Utilize Microsoft Office to create reports, spreadsheets, correspondence, and operational documents
Identify and implement process improvements, automation opportunities, and organizational efficiencies to support office productivity
Assist leadership with special projects and day-to-day operational needs while ensuring smooth office functionality
Qualifications & Skills:
Previous experience in office management, bookkeeping, administration, or accounting support
Strong proficiency in QuickBooks Desktop
Advanced knowledge of Microsoft Excel and Word
Experience with payroll processing, bank reconciliations, and basic accounting principles
Strong organizational, multitasking, and problem-solving abilities
Ability to work independently and manage competing priorities
Excellent communication and customer service skills
High level of professionalism and discretion when handling confidential information
Bilingual Spanish is preferred but not required
