Overview
We are seeking a highly organized, dependable, and detail-oriented Accounting Assistant to support the financial operations of our commercial landscape construction company. Our accounting team plays a critical role in supporting project success through accurate billing, financial tracking, compliance management, and timely processing of project documentation. The ideal candidate will have experience in commercial construction accounting, preferably within a subcontractor environment, and understand the relationship between subcontractors, general contractors, vendors, and project teams. This position requires exceptional attention to detail, strong organizational skills, and the ability to work independently with minimal supervision.
The successful candidate will be a proactive and innovative thinker who can identify issues, improve processes, and effectively manage multiple priorities while maintaining accuracy and professionalism.
Responsibilities
- Prepare and process AIA invoices, progress billings, and pay applications for commercial landscape construction projects, Process Accounts Payable (AP), including vendor invoices, purchase orders, payment processing, invoice matching, and vendor account reconciliation.
- Manage Accounts Receivable (AR), including customer invoicing, payment applications, payment tracking, collections, and account reconciliations.
- Prepare and process AIA invoices, progress billings and pay applications for commercial landscape construction projects, including preparing, executing, and tracking lien waivers and supporting documentation required by general contractors for payment approval.
- Maintain project billing schedules, track documentation requirements, and ensure timely submission of complete billing packages to general contractors.
- Coordinate directly with project managers, estimators, and customers to obtain billing approvals and resolve account inquiries.
- Assist with tracking retainage, change orders, and project-related financial documentation.
- Maintain accurate records for project costs, vendor invoices, and accounting transactions.
- Maintain organized accounting files and Coordinate company purchasing activities, including purchase orders, vendor communications, and tracking project-related materials and expenses.
- Maintain company licenses and ensure timely renewals and compliance requirements are met.
- Assist with insurance administration, including certificates of insurance, policy documentation, and renewals.
- Support DOT truck management, including vehicle registrations, inspections, and compliance records.
- Maintain organized accounting files and commercial project documentation.
- Assist with month-end and year-end closing activities.
- Reconcile accounts and research discrepancies to ensure financial accuracy.
- Prepare reports and provide accounting support to management and project teams.
- Identify opportunities to improve accounting processes, workflows, and efficiencies.
- Perform other related accounting and administrative duties as assigned.
Qualifications
- Associate degree in Accounting, Finance, Business Administration, or related field preferred, or equivalent work experience.
- Previous accounting experience required; commercial construction accounting experience strongly preferred.
- Experience working for a subcontractor, general contractor, or construction-related company preferred.
- Understanding of commercial construction billing processes, project documentation, and general contractor requirements.
- Experience with Accounts Payable, Accounts Receivable, and general accounting procedures.
- Proficiency with Microsoft Office Suite, especially Excel.
- Experience with accounting software and construction management platforms preferred.
- Strong analytical, organizational, and problem-solving skills.
Preferred Skills
- Experience with commercial construction accounting and subcontractor billing processes.
- Experience preparing AIA invoices, pay applications, and progress billings.
- Experience executing and tracking lien waivers and supporting payment documentation.
- Understanding of general contractor billing requirements and subcontractor workflows.
- Experience working with Procore, GC Pay, and Textura platforms.
- Familiarity with construction documentation, including certificates of insurance, change orders, compliance requirements, and project closeout documentation.
- Strong attention to detail with a commitment to accuracy.
- Ability to prioritize multiple projects and deadlines simultaneously.
- Self-motivated with the ability to work independently and take ownership of responsibilities.
- Proactive problem solver who identifies issues and recommends solutions.
- Strong communication skills and ability to collaborate with project managers, vendors, general contractors, and company leadership.
