Becks Quality Cabinets is a well-established custom cabinet shop specializing in designing, manufacturing, and delivering high quality custom cabinets. As an Accounting Administrative/HR Assistant, you will be an essential part of our team, providing administrative support and assisting in various human resources functions.
Summary/Objective
As the Accounting Administrative/HR Assistant, your primary responsibility will be to provide efficient accounting and administrative support for the company’s daily operations and assist with accounting and human resources activities. You will work closely with the management team, employees, and external partners to ensure smooth administrative process.
Key Duties and Responsibilities
Foundational Administrative Support and Process Integration
- Manage daily mail distribution and front desk responsibilities including answering phones and greeting and directing walk-in customers.
- Provides general support to walk-in customers such as helping with basic cabinetry inquiries, giving tours of the showroom, and taking customer information when a salesperson is not available.
- Acts as a point of contact for internal and external clients and provides an excellent line of communication between parties.
- Fielding incoming calls to the appropriate staff.
- Support accounts payable and receivable functions, including purchase order matching and bill/credit card entry in QB, check handling, and filing as well as entering deposits in QB, preparing commission statements and completing and sending out lien waivers.
- Assist in invoicing down payments, reconciling credit card and bank statements, completing credit applications, and reviewing gas card transactions noting discrepancies and discussing with appropriate personnel.
- Review timesheets for payroll and verify anything out of the ordinary--i.e. Missing punches, missing days, punching in for more than 13 hours, etc.
- Complete weekly spreadsheets and scorecard for management.
- Record W-9 and insurance forms and file them.
- Maintain inventory and order office supplies as needed through Purchasing.
- Backup to HR
- Generate paperwork for onboarding employees
- Handle the onboarding process if HR is unavailable
- Tracking attendance points for employee tardiness or call ins.
- Reviewing and supporting production and installation work order documentation.
· Uploading drawings and supporting the estimating and design team as needed.
- Opening and closing the showroom and maintaining organization and cleanliness including lights and cleaning schedules.
- Assist in planning and coordinating company events.
Expanded Administrative & Executive Support
- Preparing meeting agendas from direction provided by management and taking notes in select meetings.
- Assisting management with spreadsheet preparation, reporting, and data organization.
- Assists with Marketing efforts such as creating social media posts as well as collecting and organizing marketing materials, mainly pictures of past projects.
Skills and qualifications
- Previous success in office management
- Experience managing expenses
- Proficiency with accounting and bookkeeping software including QuickBooks
- Data entry accuracy and familiarity with spreadsheets and formulas
- Knowledge of basic accounting principles and financial documentation
- Mathematical and analytical skills for reconciliations and reporting
- Organizational and time management abilities
- Attention to detail in processing invoices and maintaining records
Work Environment and Travel
Works in a professional office and shop. The environment is typically fast-paced, focusing on accuracy in handling data, payroll, and vendor relations. Key demands include strong multitasking, data entry skills, and proficiency in accounting software like QuickBooks & Excel, often with increased workload during month-end/year-end, and tax season.
This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. This position does not require any regular travel.
Physical Demands
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is frequently required to talk and hear. The employee frequently is required use hands to handle, feel, and type; and reach with hands and arms and requires the ability to occasionally lift office supplies up to 20 pounds.
Position Type and Expected Hours of Work
This is a full-time, non-exempt, hourly position. The hours of work are 8:00 AM to 4:30 PM Monday through Friday.
Pay
DOE (Depends on Experience), Range $22 - 25/HR
Scope of Authority
This position does not have any direct reports.
Education and Experience
· Minimum of an Accounting Assistant technical diploma or equivalent is required.
· Detail-oriented with excellent interpersonal and organizational skills.
· Must be proficient in Microsoft Office, QuickBooks and computer functions.
· Proven administrative experience and customer service.
- Superb written and verbal communication skills.
- Strong time-management skills and multitasking ability.
- Aptitude for learning new software and systems.
· Maintains great professionalism, positive attitude, and confidentiality.
