The Commercial Project Coordinator serves as a critical member of the Patriot Perimeter Security estimating team, providing high-level project controls, administrative leadership, operational coordination, and documentation management for large-scale, complex perimeter security projects. This position partners directly with Level 4 Estimators and leadership across all company branches to manage the extensive planning, documentation, communication, compliance tracking, and project controls required during the pursuit, estimating, and preconstruction phases of major projects. This role requires exceptional attention to detail, advanced organizational skills, and the ability to coordinate multiple high-value opportunities simultaneously. The Project Controls Manager serves as the central hub connecting estimators, branch personnel, vendors, subcontractors, and corporate departments while ensuring consistency, accountability, and execution throughout the estimating process.
Position Clarification
The Commercial Project Coordinator is not responsible for performing estimating functions or developing project cost estimates. Instead, this position is responsible for managing the processes, controls, documentation, communication, reporting, and coordination activities that support successful execution of complex estimating efforts. The role serves as the operational backbone of the Patriot Perimeter Security estimating team, enabling Level 4 Estimators to focus on technical analysis, pricing strategy, scope development, and customer solutions while ensuring all project pursuit activities remain organized, compliant, and on schedule.
- Provide dedicated project controls support to Level 4 Estimators on large-scale and technically complex Patriot Perimeter Security opportunities.
- Develop, maintain, and monitor pursuit schedules, bid milestones, deliverables, and critical deadlines.
- Manage submittals to assure full acceptance and timely delivery of materials.
- Manage and pursue all material ordering and deliveries to assure timely delivery not compromising project timelines.
- Track project status, action items, risks, assumptions, and key estimating deliverables.
- Maintain project pursuit dashboards, reporting systems, and management updates.
- Manage all project documentation including plans, specifications, addenda, bid instructions, contracts, and project correspondence.
- Maintain document control procedures and version management for all estimating files.
- Ensure compliance with customer requirements, bid submission procedures, and internal approval processes.
- Coordinate RFIs, clarifications, scope reviews, and design revisions throughout the estimating cycle.
- Coordinate communication between operations, engineering, procurement, finance, and executive leadership.
- Assist with subcontractor and supplier solicitation, quote tracking, and bid leveling activities.
- Support project handoff meetings from estimating to operations upon project award.
- Generate reports, summaries, and executive-level presentations regarding project opportunities and estimating performance.
- Identify opportunities to improve efficiency, communication, and documentation management.
Qualifications
Required:
- Bachelor's degree in Construction Management, Business Administration, Engineering, Project Management, or related field; equivalent experience may be considered.
- Minimum 5 years of experience in project controls, estimating support, project administration, construction management, or related functions.
- Strong understanding of construction estimating, project delivery methods, and preconstruction processes.
• Advanced proficiency with Microsoft Office Suite. • Exceptional organizational, planning, and time management skills.
- Strong written and verbal communication abilities.
Preferred:
- Experience supporting large-scale security, federal, industrial, infrastructure, or specialty contracting projects.
- Knowledge of project management software, estimating platforms, ERP systems, and document management tools.
- PMP, CCM, or other project management certification preferred.
- Experience working in a multi-location or enterprise-level organization.
