Counterpoint Management Corp. is seeking an organized, motivated, and dependable Assistant Property Manager to join our property management team. This is a full-time position primarily based at our main office in Brookline, Massachusetts, supporting our market-rate residential properties in Brookline and Malden.
The Assistant Property Manager will work closely with the Property Manager and maintenance staff and will have regular interaction with residents, prospective residents, vendors, and contractors. This is a hands-on position combining leasing, resident relations, rent collection, maintenance coordination, property inspections, and general administrative responsibilities.
We are looking for someone who communicates well, stays organized, follows through on assignments, and is comfortable managing multiple priorities in a busy property management environment.
Responsibilities
- Assist the Property Manager with the day-to-day management and operation of the properties.
- Serve as a primary point of contact for residents and respond to questions, concerns, complaints, and requests in a professional and timely manner.
- Respond to prospective resident inquiries and provide information regarding available apartments.
- Schedule and conduct apartment showings.
- Assist with advertising and marketing available apartments.
- Process rental applications, including collecting required documentation and coordinating applicant screening.
- Prepare leases, addendums, renewals, and other leasing documents.
- Coordinate new resident move-ins, including paperwork, deposits, keys, building information, and move-in procedures.
- Track upcoming lease expirations and assist with the lease renewal process.
- Communicate with residents regarding renewal offers and other lease-related matters.
- Maintain accurate and organized resident files, leases, correspondence, and property records.
- Maintain resident and property information in Yardi and other management systems.
- Monitor resident accounts, rent payments, and outstanding balances.
- Follow up with residents regarding delinquent rent and other amounts due.
- Assist with rent collection efforts and preparation and delivery of appropriate notices when necessary.
- Process resident payments and maintain accurate records as required.
- Prepare resident correspondence, building notices, emails, and other communications.
- Receive resident maintenance requests and enter and track work orders in the property management system.
- Monitor open work orders and follow up with maintenance staff to ensure requests are addressed and completed in a timely manner.
- Communicate with residents regarding maintenance scheduling, apartment access, and the status of repairs.
- Coordinate outside vendors and contractors for repairs, inspections, preventive maintenance, and other property needs.
- Follow up with vendors and contractors to ensure scheduled work has been completed satisfactorily.
- Assist with obtaining proposals and pricing for repairs and property projects.
- Review vendor invoices and assist with coding and processing invoices for payment.
- Assist with move-in, move-out, and periodic apartment inspections.
- Conduct regular property walks to identify maintenance, cleanliness, safety, landscaping, and general appearance issues.
- Report identified property issues and follow through with maintenance staff or vendors until they are corrected.
- Assist with apartment turnovers by coordinating painting, cleaning, flooring, maintenance, and other work necessary to prepare apartments for new residents.
- Monitor vacant apartments and help ensure units are completed and ready for occupancy in a timely manner.
- Assist with scheduling and coordinating required building and apartment inspections.
- Assist residents with parking, keys, access devices, intercom systems, and other building-related matters.
- Assist with enforcing lease provisions, building rules, and management policies consistently and professionally.
- Assist with resident complaints and disputes and elevate more serious matters to the Property Manager when appropriate.
- Assist with preparation of reports, spreadsheets, correspondence, and other administrative documents.
- Maintain organized electronic and paper property records.
- Answer telephone calls, respond to emails, and provide general administrative support to the property management office.
- Communicate and coordinate with maintenance superintendents and maintenance technicians regarding property needs and priorities.
- Assist management with building emergencies and resident communications when necessary.
- Travel to the Malden property and other company locations as required.
- Work Saturdays during the peak rental/leasing season to conduct apartment showings, respond to prospective residents, and assist with leasing activities.
- Perform other property management and administrative duties as assigned.
Qualifications
- Prior experience in property management, residential real estate, leasing, housing, or a related field is preferred.
- Strong customer service and interpersonal skills.
- Excellent verbal and written communication skills.
- Strong organizational skills with the ability to manage multiple assignments and priorities.
- Ability to work independently while also functioning effectively as part of a team.
- Strong attention to detail and ability to maintain accurate records.
- Ability to communicate professionally with residents, prospective residents, vendors, contractors, and coworkers.
- Comfortable handling difficult resident situations and enforcing property policies when necessary.
- Strong follow-through and the ability to track outstanding items through completion.
- Proficiency with Microsoft Outlook, Word, and Excel.
- Experience with Yardi or similar property management software is preferred.
- Ability and willingness to learn new property management systems and technology.
- Valid driver's license and reliable transportation are required.
- Ability to travel between the Brookline and Malden properties as needed.
- Must be willing and available to work Saturdays during the peak rental season.
