WHAT MAKES THIS ROLE DIFFERENT
A proactive firm model — not a tax season grind
Rather than scrambling every April, our team works on a monthly engagement cadence with every client. You will:
▸ Conduct monthly check-ins to review income, expenses, and tax liability with each client
▸ Alert clients to tax-saving opportunities before year-end deadlines — not after
▸ Help clients budget predictably with monthly fee structures rather than large year-end bills
▸ Function as a true financial partner, not just a preparer
KEY RESPONSIBILITIES
Tax Services
▸ Prepare and review federal and state individual (1040) and business (1120-S, 1065, 1120, Schedule C) tax returns
▸ Conduct proactive mid-year and quarterly tax planning sessions for each client
▸ Identify and execute tax minimization strategies (retirement contributions, entity structure, depreciation, QBI deduction, etc.)
▸ Monitor IRS and Florida DOR regulatory changes and communicate impact to clients proactively
▸ Manage estimated tax payment schedules and ensure clients avoid underpayment penalties
▸ Handle IRS/state notices and represent clients in correspondence as needed
Bookkeeping & Accounting
▸ Maintain and reconcile client accounts in QuickBooks Online and QuickBooks Desktop
▸ Prepare monthly and quarterly financial statements (P&L, balance sheet, cash flow)
▸ Categorize transactions, manage chart of accounts, and ensure clean books ready for tax planning
▸ Coordinate payroll records, contractor 1099 filings, and year-end W-2 reconciliations
▸ Set up and onboard new QuickBooks clients; troubleshoot and clean up messy books
Client Relationship & Outreach
▸ Lead monthly client touchpoints via phone, video, or in person — proactive, not reactive
▸ Translate complex tax topics into clear, actionable guidance for non-financial clients
▸ Manage your own client portfolio with high responsiveness and follow-through
▸ Collaborate with the firm principal on high-complexity physician and business owner accounts
QUALIFICATIONS
Required
▸ CPA license (active and in good standing) OR EA (Enrolled Agent) designation
▸ Minimum 5 years of experience in public accounting or tax advisory roles
▸ Proficiency in QuickBooks Online and QuickBooks Desktop — both products
▸ Experience preparing complex individual (1040) and business returns (S-corp, partnership, C-corp)
▸ Demonstrated ability to advise on proactive tax planning strategies, not just compliance
▸ Strong written and verbal communication — must be able to explain tax concepts clearly to clients
▸ High attention to detail, organized, and capable of managing multiple client accounts simultaneously
Strongly Preferred
▸ Experience serving physicians, medical professionals, or healthcare business owners
▸ Familiarity with S-corporation optimization, reasonable compensation analysis, and pass-through entity planning
▸ Experience with high-net-worth individual tax planning (investments, real estate, trust returns)
▸ Working knowledge of payroll tax compliance and multi-state filing
▸ Comfort with cloud-based practice management tools (Canopy, Karbon, or similar)
