Position Summary
The Paralegal provides substantive legal support to the attorneys of HV Legal, LLC across the firm's practice areas, including family law, real estate, estate planning, probate, civil litigation, business law, and landlord-tenant matters. Working under attorney supervision, the Paralegal drafts documents, manages case files and deadlines, prepares court filings, and serves as a key point of contact for clients, courts, and opposing counsel. This role demands accuracy, organization, and a thorough understanding of Ohio practice and procedure.
Essential Duties & Responsibilities
- Draft pleadings, motions, discovery requests and responses, separation agreements, shared parenting plans, deeds, leases, estate-planning documents, and probate filings under attorney supervision.
- Prepare and e-file documents with the Lake, Geauga, and Ashtabula County Common Pleas Courts (including Domestic Relations and Probate Divisions) and applicable municipal courts.
- Maintain case files and matters in Clio Manage, keeping documents, notes, tasks, and statuses organized and current.
- Calendar and monitor court deadlines, hearing dates, and statutory time limits, and alert attorneys well in advance.
- Conduct factual investigation and basic legal research using the Ohio Revised Code and case law as directed.
- Assemble exhibits, hearing binders, closing packages, and probate inventories and accountings.
- Communicate with clients, courts, title companies, and opposing counsel on procedural and status matters under attorney direction.
- Manage real-estate transaction workflows, including title review coordination, deed preparation, and closing documents.
- Support discovery in litigation matters, including document organization, summaries, and production logs.
- Track billable time accurately in Clio Manage and assist with file opening, closing, and records retention.
Required Qualifications
- Associate or bachelor's degree, paralegal certificate, or equivalent legal experience.
- Two or more years of paralegal experience, preferably in a general or multi-practice firm.
- Working knowledge of Ohio civil procedure, court filing requirements, and e-filing systems.
- Strong legal drafting, proofreading, and organizational skills.
- Proficiency with practice-management software and Microsoft Office.
- Ability to manage multiple matters and deadlines simultaneously with accuracy.
Preferred Qualifications
- Experience across several of the firm's practice areas (family law, real estate, estate planning, probate, and civil litigation).
- Familiarity with Clio Manage document automation and matter workflows.
- Knowledge of Northeast Ohio courts, local rules, and county recorder/title procedures.
- Paralegal certification (e.g., NALA, NFPA) or Ohio State Bar Association paralegal credentials.

Compensation & Schedule
- Hourly, non-exempt position; pay commensurate with experience and certifications.
- Full-time, on-site in Painesville, Ohio, with occasional travel to area courthouses.

This role involves substantive legal support performed under the direct supervision of a licensed Ohio attorney. The employee must safeguard client confidences and the attorney-client privilege, comply with the Ohio Rules of Professional Conduct, and refrain from giving legal advice, setting fees, or otherwise engaging in the unauthorized practice of law. Diligent conflict checking, accurate calendaring of court deadlines, and careful handling of privileged materials are essential.
