Position: Guest Services Coordinator (part-time)
FLSA Status: Non-Exempt
Reports To: Operations Manager
Position Description: Responsible for delivering an exceptional guest experience while managing front desk operations and supporting daily spa activities. This role serves as a key point of contact for guests and helps ensure smooth operations, guest satisfaction, team success, and retail performance.
RESPONSIBILITIES:
Guest Experience
- Welcome guests in a warm, professional, and friendly manner
- Manage guest check-in and check-out procedures
- Deliver exceptional customer service and create positive guest experiences
- Address guest concerns professionally and escalate issues when appropriate
- Support guest retention through relationship building and service excellence
- Offer product samples to guests when appropriate and educate guests on product benefits
Front Desk Operations
- Answer guest inquiries
- Maintain accurate guest information and appointment records
- Process payments and reconcile transactions according to company procedures
- Ensure the front desk remains organized, clean, and professional at all times
- Follow all spa policies, procedures, and service standards
- Maintain continued communication with the Manager on Duty (MOD) throughout each shift
Retail & Sales
- Promote retail products and provide product recommendations
- Support retail sales goals and initiatives
- Maintain retail displays and product presentation standards
- Assist guests with product education and recommendations
- Ensure guest-facing areas consistently meet spa presentation standards
Operational Support
- Assist with answering phones, emails, texts and appointment scheduling and confirmations
- Support team members and daily spa operations as needed
- Coordinate communication between departments and leadership
- Start, rotate, fold, and organize laundry throughout the shift
- Assist with cleaning, sanitizing, and resetting service rooms as needed
- Sign for deliveries and incoming shipments
- Immediately report all incoming mail, packages, and deliveries to the Manager on Duty (MOD) for further instruction
- Assist with opening and closing duties as assigned
- Support a positive and collaborative team environment
Marketing & Social Media Support
- Create social media content as assigned, including photos, videos, stories, reels, and promotional content aligned with brand standards
- Communicate content opportunities and promotional ideas to management

SKILLS AND QUALIFICATIONS:
- Friendly, guest-focused approach with a warm, professional demeanor
- Comfortable greeting guests, answering questions, and helping with check-in/check-out
- Willing to learn about retail products and comfortable making simple recommendations to guests
- Good verbal communication skills
- Able to keep track of guest information and appointment details accurately
- Maintain organization and composure during busy or high-pressure situations
- Comfortable taking basic photos/videos for social media as needed
- Reliable and punctual, with flexibility to work varied shifts, including opening and closing
- Able to work well with others as part of a team
- Willing to take initiative and help out wherever needed during a shift
- Committed to following spa policies, procedures, and service standards
Education and Experience Requirements:
- High School Diploma or equivalent required
- No prior experience necessary; on-the-job training provided
- Previous customer service, hospitality, or retail experience is a plus
