Job Summary
The Property Manager is responsible for the day-to-day oversight of residential and/or commercial properties across Kennebec and Androscoggin Counties. This role involves managing tenant relations, leasing coordination, maintenance oversight, rent collection, budgeting, and vendor supervision. The Property Manager ensures that all properties are maintained to company standards, comply with applicable regulations, and meet financial performance goals.
Responsibilities
Tenant & Leasing Management
- Serve as the primary point of contact for tenants, responding promptly to inquiries, concerns, and maintenance needs
- Collaborate with the leasing team to ensure properties are listed on time and vacancies are filled efficiently
- Manage lease renewals, rent increases, and lease enforcement
- Issue notices related to non-payment, lease violations, or other policy matters
- Ensure ongoing compliance with lease terms and tenant policies
Maintenance & Property Operations
- Oversee maintenance requests and coordinate repair work in collaboration with the Maintenance Coordinator
- Use Buildium, Property Meld, or similar platforms to track and manage work orders
- Conduct routine property inspections to maintain safety and condition standards
- Manage relationships with vendors and contractors; ensure all third-party work meets quality and timeline expectations
- Support capital improvement planning and execution
Financial Management
- Collect rent and enforce payment policies, including late fees and arrears follow-up
- Prepare and manage operating budgets for assigned properties
- Review and approve property-related expenses
- Work with the accounting team to ensure timely and accurate financial reporting and owner disbursements
Administrative & Compliance
- Maintain current and complete tenant records, leases, and communication logs
- Ensure compliance with all local, state, and federal housing laws and regulations (e.g., Fair Housing, lead paint, building codes)
- Oversee eviction processes and serve proper legal notices when necessary
- Generate ownership reports including rent rolls, delinquencies, maintenance summaries, and vacancy reports
- Maintain strong relationships and communication with clients (property owners)
Experience
- Proven experience in property management or a related field is preferred.
- Familiarity with property leasing processes, contracts, and customer relationship management practices is essential.
- Strong data entry skills with attention to detail for maintaining accurate records.
- Excellent customer service skills with a focus on phone etiquette when communicating with tenants and vendors.
- Experience with conflict management techniques to handle tenant issues professionally.
- Knowledge of Yardi or similar property management software is a plus.
- A background in property maintenance is beneficial but not required.
Required Qualifications:
- 1+ years of property management experience (residential or mixed-use preferred)
- Strong working knowledge of landlord-tenant law and fair housing compliance
- Excellent communication, organizational, and problem-solving skills
- Proficiency in property management software (e.g., Buildium, AppFolio, Property Meld)
- Ability to manage a portfolio of properties and teams independently
- Valid driver’s license and reliable transportation
- Must pass background and reference checks
- Willingness to take a hands-on approach to managing maintenance, tenant issues, and special projects
- Familiarity with renovation or construction project management
Preferred Qualifications:
- 3+ years of property management experience
- Experience managing multi-family or mixed-use portfolios
- Strong budgeting and owner reporting experience
Compensation & Benefits:
- Competitive salary: $40,000 to $50,000 a year with Quartey bonus structure based on performance.
