A little about who we are, and what role you will play
We are a boutique family law and probate firm in Doral looking for a friendly, professional, highly organized front desk receptionist and scheduler to be the first voice and first impression our client’s encounter.
This is not a "sit and answer the phone" job. Our clients call us during their divorce, custody disputes, and to receive legal advice and guidance on how to distribute and organize their estate upon their death. Many of them are anxious, overwhelmed, stressed and nervous and some are more comfortable in communicating in Spanish.
The person in this position sets the tone for the entire client experience: calm, professional, caring and genuinely kind — while keeping the attorney's calendar tight and the intake pipeline moving.

What you'll do
- Answer, screen, and route all incoming calls in English and Spanish; with require you take accurate, complete messages and you keep a log of phone calls.
- Physically greet clients and visitors who arrive at the office to deliver documents, attend depositions, attend mediations, or to meet with the attorney or to attend a consultation.
- You will also manage the reception area and offer coffee to guests or other attorneys that may visit our office to meet with the attorney.
- Handle new client inquiries such as gathering intake information and explain our consultation process and fees.
- Schedule initial consultations and attorney callbacks within the firm's set calendar blocks, with proper buffers between appointments. Send reminders to all the client’s regarding their appointments in their case as well as their hearings.
- Maintain the attorney's calendar — which at times will require the coordination with the paralegal.
- Schedule all Court hearings and client meetings — and confirm appointments in advance to reduce no-shows. (We will train you on how to schedule Court hearings and provide you with the necessary passwords.)
- Manage incoming and outgoing mail, deliveries, court filings pickup/drop-off coordination, and e-filing simple Court documents. (We will train you on how to e-file Court documents)
- Scan, label, and file client documents accurately in our cloud-based system, Clio.
- Follow up on unreturned calls and pending consultations so nothing falls through the cracks.
- Support the team with general administrative tasks.
What we're looking for
- Fully bilingual in English and Spanish — spoken and written. Our client base is substantially Spanish-speaking, and this role requires drafting emails and text messages in both languages. This is a job requirement, not a preference.
- 1+ year of front desk, receptionist, or client-facing administrative experience
- Genuine phone presence — clear, patient, and professional with emotional or upset callers
- Strong scheduling instincts and attention to detail; you catch double-bookings before they happen
- Comfort with Google Workspace (Gmail, Calendar, Drive) and a willingness to learn our scheduling, payment, and case management tools
- Absolute discretion with confidential and sensitive client information
- Reliable, punctual, and physically present in our Doral office
Nice to have (not required)
- Prior experience in a law firm, medical office, or other appointment-driven professional practice
- Familiarity with family law or probate terminology
- Experience with legal case management, e-signature, or online payment platforms
- Notary commission (or willingness to become a Florida notary — we'll cover the cost)
Schedule & compensation
- Schedule: Monday–Friday, [9:00 AM – 3:00 PM], in office
- Pay: $_17.00_________ – $__18.00_______ per hour, depending on experience
