Overview
We are seeking a detail-oriented and organized Data Specialist to join our team. In this role, you will play a critical part in keeping our fleet moving and our inventory accurate.
Beyond core data entry, you will manage shop data integrity, oversee parts inventory, coordinate equipment maintenance, and support shop/driver workflows. This role combines hands-on fleet administration (working with mechanics and drivers) with high-level data accuracy, inventory reporting, and quality assurance processes essential for maintaining operational efficiency and supporting management decisions.
Key Responsibilities
- Track, order, and reconcile parts stock for tractors, trailers, and refrigeration units (reefers); manage vendor orders and perform inventory audits.
- Work directly with internal mechanics and external vendors to track equipment service status, log work orders, and minimize fleet downtime.
- Coordinate driver equipment assignments, manage truck readiness updates for Dispatch, and assist Safety with scheduling road tests and onboarding paperwork.
- Execute complex data entry across logistics management systems, fleet tracking software, and Excel with exceptional speed and accuracy.
- Oversee data management and quality assurance processes to eliminate reporting discrepancies and ensure accurate operational tracking.
- Generate, verify, and present daily/weekly inventory, parts usage, and fleet maintenance reports to assist management decision-making.
- Maintain organized physical and digital filing systems, standard operating procedures, and clerical documentation related to shop operations.
- Complete other relevant duties as needed.
Qualifications
- Advanced proficiency in Microsoft Office Suite and adaptability to trucking/logistics management software.
- Prior experience in an administrative role within fleet management, logistics, supply chain, trucking, freight, or cold-chain logistics is strongly preferred.
- Experience running system reports and keeping track of equipment servicing schedules.
- Exceptional time management and the ability to prioritize urgent operational tasks in a fast-paced environment.
- Strong written and verbal communication skills with professional phone etiquette.
- Fluency in English and Spanish is highly preferred.
