Responsibilities
- Greet patients warmly and professionally, providing excellent customer service at the front desk
- Schedule appointments accurately using WEBPT
- Verify insurance coverage, perform insurance eligibility checks, and handle insurance verification processes
- Contact patients' attorney and verify representation
- Collect and process patient payments, perform medical collections, and manage billing procedures
- Review and update medical records ensuring compliance with HIPAA and clinical confidentiality policies
- Assist with documentation review, coding (CPT, ICD-9, ICD-10), and ensure accurate medical coding for billing purposes
- Manage multi-line phone systems with professional phone etiquette, directing calls efficiently and courteously
- Maintain organized filing systems for medical records, lab results, and other clinical documentation
- Support clinical staff by coordinating care plans and facilitating communication between patients and providers
- Utilize various EMR systems such as eClinicalWorks or Dentrix to document patient information accurately
- Conduct intake procedures for new patients, including data entry and initial documentation review
- Perform office management tasks such as filing, data entry (including 10 key typing), and managing electronic health records (EHR)
Experience
- Prior clinic or healthcare office experience is highly preferred; physical therapy experience is a plus
- Strong knowledge of medical terminology, auto insurance processes, and health information management principles
- Experience with EMR/EHR systems like Epic, Meditech, or WebPT
- Demonstrated proficiency in medical billing, coding (ICD-9/10, CPT), and Medicare documentation requirements
- Excellent computer skills including Microsoft Office Suite (Word, Excel) and familiarity with office management software such as Eaglesoft or Dentrix
- Bilingual abilities are desirable to serve diverse patient populations effectively
- Proven ability to handle multiple priorities efficiently in a fast-paced environment while maintaining professionalism and accuracy
- Knowledge of clinical confidentiality policies aligned with HIPAA regulations is mandatory
