Clinical Operations Coordinator / Patient Services Lead
About the role
Our doctor is a nerve, foot, and ankle surgeon who's practice is hiring a Clinical Operations Coordinator to keep the front office running and to support the operational side of the practice. The role covers patient coordination, scheduling appointments, inputting insurance through our EMR, maintaining state licensing, hospital privileges, and day to day operations.
It's a good fit for someone with a healthcare operations background who's comfortable moving between patient interactions and behind-the-scenes coordination. You'll work closely with the physician and clinical staff, and you'll have ownership over how parts of the office run.
What you'll do
Front office and patient care
- Schedule appointments and manage the daily calendar
- Check patients in and out
- Answer phones, Klara messages, emails, and contact-form inquiries
- Follow up with patients and coordinate referrals
- Verify insurance eligibility and benefits
- Collect payments and outstanding balances
- Keep patient records current and accurate
- Act as the link between patients, providers, and staff
Surgical coordination
- Schedule procedures and handle pre-operative requirements
- Obtain and track surgical prior authorizations
- Coordinate with patients, insurance carriers, hospitals, and surgical centers
- Manage surgical documentation and keep it compliant
Billing and insurance
- Overseeing billing functions done by our professional billers
- Assist our billers on insurance issues and denials
- Help with payment reconciliation and end-of-day financial closeout
- Prepare bank deposits and keep daily financial records
EMR and systems
- Support EMR workflows and troubleshoot problems
- We have a complete training program for our EMR (ModMed)
- Help with system setup, payer registration, and optimization
- Train staff on workflows and procedures
Practice operations
- Track office metrics and prepare reports for the physician
- Help develop workflows and improve existing processes
- Coordinate staff meetings and general clerical tasks
- Document office procedures
Payroll and admin support
- Review employee time records bimonthly to send to payroll service
Other duties
- Maintain provider credentialing and payer enrollment
- Process medical records requests under HIPAA
- Manage patient recall and retention scheduling
- Serve as the contact for non-clinical vendors and suppliers
- Order and manage office, kitchen, and breakroom supplies
- Resolve patient concerns and scheduling escalations
- Support the doctor's calendar and meeting prep
- Our doctor is a national speaker and will need help in organizing their iteneraries
What we're looking for
- At least 3 years in a medical office or healthcare operations role
- Comfortable with EMR/EHR systems — ModMed (EMA) experience is preferable, or familiarity with a comparable platform
- Solid grasp of insurance verification and billing
- Organized, and comfortable managing several priorities at once
- Good with people, on the phone and in person
- Proficient with Microsoft Office and practice management software
Nice to have:
- Surgical scheduling and prior authorization experience
- Background in financial reconciliation and reporting
- A track record of training staff and writing down procedures
- Comfortable working independently and managing your own day

Pay: $24.00 - $32.00 per hour
