Position Summary
Waterfront Services and Supply is seeking a detail-oriented and dependable Payroll Clerk to manage the company's payroll process and ensure employees are paid accurately and on time. The ideal candidate will have a strong understanding of payroll procedures, payroll regulations, and QuickBooks payroll software. This position requires excellent organizational and communication skills, as the Payroll Clerk will regularly interact with employees to resolve payroll-related questions while ensuring compliance with company policies and applicable labor laws.
Key Responsibilities
- Process weekly and/or biweekly payroll accurately and in a timely manner using QuickBooks Payroll.
- Review employee timecards and payroll records for accuracy, completeness, and compliance with company policies.
- Ensure payroll is processed in accordance with all applicable federal, state, and local payroll laws and regulations.
- Maintain accurate payroll records, employee earnings, deductions, taxes, and benefits.
- Serve as the primary point of contact for employee payroll inquiries and resolve payroll discrepancies professionally and confidentially.
- Enforce company policies regarding timekeeping, timeclock usage, attendance reporting, and payroll documentation.
- Identify and communicate payroll discrepancies or policy violations to supervisors and management.
- Coordinate with Human Resources and management regarding new hires, terminations, wage changes, and employee status updates.
- Prepare payroll reports and assist with audits as required.
- Maintain confidentiality of all payroll and employee information.
- Assist with year-end payroll activities, including W-2 preparation and payroll reconciliations.
Qualifications
- High school diploma or equivalent required; associate's degree in accounting, business administration, or a related field preferred.
- Minimum of 2 years of payroll processing experience.
- Working knowledge of federal and state payroll laws, wage and hour regulations, and payroll tax requirements.
- Proficiency with QuickBooks Payroll and Microsoft Office, particularly Excel.
- Strong mathematical, analytical, and organizational skills.
- Excellent attention to detail and accuracy.
- Strong interpersonal and customer service skills with the ability to communicate professionally with employees at all levels.
- Ability to handle sensitive and confidential information with discretion.
- Ability to work independently, prioritize tasks, and meet payroll deadlines.
Preferred Qualifications
- Experience in the construction, marine, or industrial services industry.
- Knowledge of certified payroll reporting and prevailing wage requirements is a plus.
