Job Summary:
Verify and maintain internal data records on incoming and outgoing shipments involving inventory. Duties include verifying and recording incoming merchandise or material in the inventory database, and arranging for the transportation of products as needed. Once data is recorded and internal system updates are made, the Receiving Specialist submits invoices to the Accounts Payable clerk.
Essential Duties/Responsibilities:
- Operate computer program with inventory control features.
- Consolidates Purchase Orders.
- Check figures, post inventory changes, and make cost adjustments to incoming products as needed.
- Record numerical data and report variances to merchandise managers.
- Research all count adjustments thoroughly using established standards prior to finalizing.
- Assist with the product receiving process of merchandise and comply with established standards.
- Effectively respond and interact with back office and merchandise office.
- Record shipment data, such as weight, charges, space availability, damages, or discrepancies, for reporting, accounting, or recordkeeping purposes.
- Prepare return authorization orders and confer or correspond with establishment representatives to rectify problems, such as: damages, shortages, or nonconformance to specifications.
- Contact carrier representatives to make arrangements, or to issue instructions for shipping and delivery of materials.
- Examine shipment contents and compare with records, such as: manifests, invoices, or orders, to verify accuracy.
- Record and print reports.
- Communicate cost variances with purchase managers.
- Calculate and communicate shipping costs to purchasing managers.
Other Duties and Responsibilities
- Prepare documents to route materials, such as: work orders, bills of lading, or shipping orders.
- Troubleshoot office equipment malfunctions; report maintenance or equipment problems to management when basic troubleshooting is unsuccessful.
- Assist with the product receiving process of merchandise and comply with established standards.
- Coordinate shipping activities with external parties.
- Pack, seal, label, or affix postage to prepare materials for shipping using hand tools, power tools, or postage meter.
- Calculate shipping costs.
- Package objects for shipping.
- Determine shipping methods, routes, or rates for materials to be shipped.
- Examine shipment contents and compare with records, such as manifests, invoices, or orders, to verify accuracy.
- Inspect shipments to ensure correct order fulfillment.
- Arrange for the transportation of products and record shipping information.
- Confer or correspond with establishment representatives to rectify problems, such as damages, shortages, or nonconformance to specifications submits requests for credits when applicable.
- Contact carrier representatives to make arrangements or to issue instructions for shipping and delivery of materials.
- Troubleshoot office equipment malfunctions; report maintenance or equipment problems to management when basic troubleshooting is unsuccessful.
- Performs all other related duties as assigned.
Required Knowledge, Skills & Abilities:
- Basic mathematical skills, including additions, subtraction, multiplication, and division
- 1+ years of relevant shipping/receiving or inventory control experience.
- Ability to analyze data from reports and possess a high degree of attention to detail.
- Ability to cooperate successfully with customers and co-workers.
- An aptitude for computer processing and regular data entry.
- Ability to reliably work a full-time schedule that suits the needs of the business.

Physical Requirements:
- Must be able to remain in a stationary position at least 75% of the time.
- Must be able to frequently move and reposition office supplies weighing up to 15 pounds.
- Must be able to infrequently lift and move products in receiving area weighing up to 50 pounds.
- Must be able to frequently move and reposition office supplies weighing up to 15 pounds.
- Must have the ability to work in a second-floor office area with stair only access.
- Ability to perform repetitive movements over long periods of time.
- The ability to see details at close range (within a few feet of the observer).
- Performing physical activities that require considerable use of your arms and legs and moving your whole body, such as climbing, lifting, balancing, walking, stooping, and handling materials.
