Responsibilities
- Greet visitors warmly and professionally, directing them appropriately and ensuring a positive experience.
- Manage multi-line phone systems with courteous phone etiquette, screening calls and taking messages as needed.
- Maintain the front desk area, ensuring it is tidy, organized, and welcoming at all times.
- Handle data entry, filing, and document proofreading to support office efficiency.
- Utilize computer skills including Microsoft Office, Google Workspace, and other office management software to perform administrative tasks.
- Assist with calendar management and scheduling appointments for staff or medical/dental professionals as required.
- Support clerical duties such as photocopying, mailing, and maintaining office supplies inventory.
- Provide customer support by addressing inquiries promptly and professionally via phone or email.
- Perform basic bookkeeping tasks using QuickBooks or similar accounting software when necessary.
- Maintain confidentiality of sensitive information while ensuring accurate record keeping.
Experience
- Previous office or administrative experience is preferred, especially in roles such as receptionist, clerical assistant, or personal assistant.
- Proven ability to manage multi-line phone systems and demonstrate excellent phone etiquette.
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and data entry tools.
- Experience with office management tasks such as filing, proofreading, and calendar management is highly desirable.
- Bilingual skills are a plus to effectively communicate with diverse clients and team members.
- Familiarity with medical or dental receptionist duties can be advantageous but is not required.
- Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
- Demonstrated customer service skills with a friendly demeanor and professional attitude.
