Dunbar Wellness Group, Inc. is a Philadelphia-based behavioral health organization providing Intensive Behavioral Health Services (IBHS) and Outpatient Therapy (OPT) services to children, adults, and families throughout the Philadelphia area.
We are seeking a detail-oriented Billing & Payroll Specialist to support payroll processing, contractor billing reconciliation, and behavioral health service documentation.
The Billing & Payroll Specialist will assist with the accurate preparation and reconciliation of employee payroll and fee-for-service contractor payments. This position will review submitted service documentation, calculate billable hours and units, reconcile contractor billing information, and prepare accurate payroll and billing data for processing.
The ideal candidate has previous payroll, healthcare billing, or behavioral health administrative experience and is comfortable working with detailed spreadsheets, service records, timesheets, and electronic systems. Experience with ADP is strongly preferred, and previous experience with IBHS, outpatient behavioral health, Medicaid-funded services, or a similar healthcare environment is highly desirable.
Assist with preparation and processing of employee payroll using ADP.
Review employee time and attendance records for accuracy prior to payroll processing.
Review and reconcile fee-for-service contractor billing submissions.
Calculate and verify contractor billable hours, service units, and applicable payment totals.
Review supporting service documentation, including face sheets, service records, and billing documentation, to ensure information is complete and consistent with submitted billing.
Maintain accurate payroll and contractor payment tracking spreadsheets.
Identify missing, incomplete, or inconsistent billing information and coordinate corrections with appropriate staff.
Verify rates and payment information against approved compensation records.
Assist with payroll adjustments and payment discrepancies.
Coordinate with Human Resources, Case Management, Billing, and clinical teams to resolve payroll or contractor billing issues.
Maintain organized payroll and billing records for internal review and audit purposes.
Maintain confidentiality of employee, contractor, client, payroll, and financial information.
Perform additional payroll, billing, and administrative duties as assigned.
High school diploma or equivalent required; associate or bachelor's degree in Accounting, Finance, Business Administration, Healthcare Administration, or a related field preferred.
Minimum 2 years of payroll, billing, bookkeeping, accounts payable, healthcare administration, or related experience preferred.
Strong numerical accuracy and attention to detail.
Experience reviewing timesheets, invoices, service records, or other payment documentation.
Proficiency with Microsoft Excel and Outlook.
Ability to accurately calculate hours, units, rates, and payment totals.
Strong organizational and recordkeeping skills.
Ability to handle confidential payroll, financial, employee, and client information.
ADP payroll experience strongly preferred.
Previous healthcare or behavioral health billing experience.
Experience with IBHS, Outpatient Behavioral Health, Medicaid-funded services, or fee-for-service clinical programs.
Experience processing or reconciling 1099 contractor/fee-for-service payments.
Familiarity with behavioral health service documentation, face sheets, service units, and billing records.
Experience with Electronic Health Record (EHR) or healthcare billing systems.
