As we continue to grow, we’re looking for someone who can help increase the CEO’s capacity, improve organizational follow-through, and support the operational and brand consistency that keeps Genuine running at a high level.
ROLE SUMMARY
This role is first and foremost the CEO’s Executive Assistant. Because the CEO wears many hats at Genuine Ice Cream, this role does too. The Executive Assistant works directly alongside the CEO to help increase capacity, reduce mental load, improve follow-through, maintain visibility across the business, and help keep operations and brand execution moving forward. This role supports many areas of the company and no two days look exactly the same. One hour might involve organizing merchandise displays, the next might involve responding to customer emails, coordinating projects, filming content, running errands, helping prep for meetings, checking shop standards, paying invoices, or following up to ensure details don’t slip through the cracks.
This is not a remote role and not a behind-the-scenes-only administrative position. Being physically present, noticing details, identifying gaps, and helping things run more smoothly is an important part of the job.
The right person for this role is highly proactive, detail-oriented, adaptable, calm under pressure, and genuinely enjoys creating order, solving problems, and making things better.

PRIMARY RESPONSIBILITIES
CEO Support
Help increase the CEO’s effectiveness by reducing day-to-day mental load and improving follow-through.
Responsibilities may include:
- Managing and organizing CEO email and communication
- Managing the general company inbox
- Calendar coordination and scheduling
- Vendor communication and follow-up
- Bill payment and administrative coordination
- Running errands and handling operational tasks
- Organizing files, documents, and systems
- Preparing materials for meetings and projects
- Helping prioritize tasks and keep projects moving
- Following up on outstanding action items and deadlines
- Supporting travel planning and scheduling when needed
Operational Support
Help maintain consistency, organization, visibility, and follow-through across the business.
Responsibilities may include:
- Performing regular walkthroughs of the shop and production spaces
- Identifying issues before they become larger problems
- Noticing gaps in cleanliness, organization, merchandising, signage, or guest experience
- Helping the CEO maintain visibility across multiple moving projects and priorities
- Supporting project tracking and operational organization in Monday.com
- Taking notes during meetings and sending follow-up action items
- Helping ensure details, communication, and follow-through do not slip through the cracks
- Supporting systems, organization, and process consistency across departments
This role does not directly manage employees but may communicate on behalf of the CEO and help reinforce priorities, expectations, and follow-through.
Brand & Content Support
Support the Genuine brand through thoughtful, consistent execution — not high-level marketing strategy or influencer-style content creation. You do not need to be a professional content creator or social media expert for this role. We’re looking for someone willing to learn, capture content consistently, and help maintain the Genuine brand presence.
Responsibilities may include:
- Capturing behind-the-scenes photo and video content
- Social media content creation and scheduling
- Drafting captions and content using AI tools
- Monitoring comments, DMs, reviews, and customer feedback
