Responsibilities

- Manage front desk operations, greeting visitors and handling multi-line phone systems with professionalism and courtesy
- Coordinate calendar management, scheduling meetings, appointments, and conference rooms efficiently
- Perform data entry tasks with accuracy using productivity software such as Microsoft Office and Google Workspace
- Handle clerical duties including filing, proofreading documents, and maintaining organized records
- Provide exceptional customer support by addressing inquiries promptly and professionally via phone or email
- Support bookkeeping activities using QuickBooks or similar accounting software to ensure accurate financial records
- Assist with personal assistant responsibilities as needed, including travel arrangements and correspondence management
Skills
- Proven experience in office management or administrative roles with strong organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Technical proficiency with office equipment, data entry systems, and productivity software
- Excellent phone etiquette and experience managing multi-line phone systems
- Bilingual abilities are highly preferred to serve diverse client needs effectively Spanish speaker is highly recommended
- Strong typing skills with attention to detail for proofreading and document accuracy
- Knowledge of bookkeeping practices using QuickBooks or comparable software
- Experience in medical or dental receptionist roles is a plus, demonstrating familiarity with front desk procedures in healthcare settings
- Exceptional time management skills to prioritize tasks efficiently in a fast-paced environment
- Customer service orientation with the ability to handle inquiries professionally and courteously
