About the role
Trinitas Services, a group behavioral health practice in Chapel Hill, NC, is looking for an experienced Medical Billing Specialist & Practice Administrator to run the billing and administrative back office of our growing practice. This is a part-time, on-site position — about 5 hours per week across two days — for a seasoned professional who can work independently and keep our revenue cycle running smoothly so our clinicians can stay focused on patient care. This is a hands-on role for someone who already knows medical billing inside and out and can hit the ground running with minimal supervision. It is not an entry-level or training position.
What you’ll do
- Perform medical billing and coding and manage the full claims lifecycle, from charge entry through payment posting.
- Handle insurance processes, including verifying eligibility and benefits and obtaining pre-authorizations.
- Work accounts receivable (A/R), review outstanding balances weekly, and follow up on outstanding claims and balances.
- Research and resolve denials: identify trends, correct and resubmit claims, and prepare and submit appeals.
- Collect co-pays and co-insurance and determine patient responsibility; prepare No Surprises Act (NSA) notices and Good Faith Estimates (GFEs) for new clients; complete annual insurance updates.
- Explain EOBs to patients, reconcile patient accounts, and reconcile batches and payments daily.
- Manage provider credentialing and re-credentialing with payers. Support clinical records: review clinical note and treatment plan status, maintain active/inactive client status, prepare discharge letters, and update the therapist matrix monthly.
- Support office administration: maintain supplies and the coffee station, organize the supply closet and flex office, manage keys and the key log, manage flex office and training room schedules, set up for CEs, workshops, and peer supervision, distribute mail, and other tasks as assigned.
What we require (prior medical-office experience in ALL of the following)
- Medical billing and coding for a medical practice.
- Handling medical insurance for a private medical practice.
- Working accounts receivable (A/R) for a medical practice.
- Resolving denials — identifying trends, submitting appeals, and correcting claims.
- Provider credentialing.
- Collecting co-pays and co-insurance, and determining patient responsibility by insurance type and plan allowables.
- Working knowledge of Medicare, Medicare Replacement (Advantage) plans, and private insurance plans.
- Explaining EOBs to patients.
- Reconciling patient accounts and reconciling batches/payments daily.
- An associate’s degree in health information technology, a certificate in medical billing, or 3+ years of relevant work experience.
Nice to have
- Behavioral health / mental health billing and CPT code experience.
- Familiarity with EHR and practice management / billing software.
- Medical billing and coding certification (e.g., CPC, CPB, or equivalent).
- Experience in a small or solo group practice owning the full billing and administrative function.
Schedule & pay
- Part-time, approximately 5 hours per week (two days, ~2.5 hours each), with some flexibility.
- On-site at our Chapel Hill, NC office.
- $24–$30 per hour, commensurate with experience — paid as a W-2 employee at a flat hourly rate.
