Position Summary
The Director of Finance serves as a strategic partner to the Executive Director and is responsible for the financial management of the Onslow Victims Center (OVC). This position provides leadership in financial planning, accounting, grant compliance, budgeting, reporting, and fiscal stewardship while supporting OVC's mission to provide high-quality services to survivors of domestic violence and sexual assault.
The Director of Finance collaborates closely with the Executive Director, Board of Directors, Finance Committee, auditors, grantors, vendors, and financial institutions to ensure organizational sustainability, fiscal accountability, and regulatory compliance. As a member of the leadership team, this position also provides limited direct advocacy support during emergencies and staffing shortages. Other duties as directed by the Executive Director.
Essential Duties and Responsibilities
Financial Leadership
- Oversee all organizational accounting functions, including accounts payable/receivable, payroll, bank reconciliations, cost allocations, revenue analysis, cash management, and financial reporting.
- Prepare monthly and annual financial statements for the Executive Director, Finance Committee, and Board of Directors.
- Assist with the development of the annual budget, financial forecasting, and cash flow management.
- Coordinate the annual independent audit and IRS Form 990 preparation with external auditors.
- Ensure compliance with nonprofit accounting standards, grant requirements, and federal and state financial regulations.
- Monitor grant expenditures, contract billing, and funding compliance.
- Maintain accurate financial records and utilize QuickBooks and other financial systems to produce timely financial reports and analyses.
- Monitor organizational investments, maintain accurate investment records, reconcile account activity, and provide regular performance reports to the Executive Director and Board of Directors
- Manage the financial operations of the retail store, including cash handling, deposits, merchant services, and cash flow processes.
- Maintain proficiency with the point-of-sale (POS) system and generate operational and financial reports to support business decisions.
· Manage vendor relationships, purchasing, insurance, and business services.
· Manage and maintain all organizational licenses, permits, memberships, and certifications, ensuring accurate records, timely renewals, and compliance with federal, state, and local requirements.
Grants & Board Support
- Assist the Executive Director with grant proposal budgets and financial reporting.
- Maintain donor and campaign financial records and reporting systems.
- Support fundraising campaigns, special events, and donor stewardship activities.
- Present financial reports and recommendations to the Finance Committee and Board of Directors.
- Collaborate with grantors, auditors, consultants, financial institutions, and community partners on financial matters.
- Monitor organizational investments, maintain accurate investment records, reconcile account activity, and provide regular performance reports to the Executive Director and Board of Directors.
Technology
- Oversee financial software (QuickBooks), donor management platforms (Stripe and Give Lively), employee payroll system (ADP), medical benefits system interface, self-pay ancillary insurance portal (Globe life), and Health reimbursement account HRA (Basics).
- Coordinate software upgrades, implementations, and vendor relationships related to financial systems.
- Serve as the primary liaison for information technology vendors to support financial operations and office technology.
· Manage the financial operations of the retail store, including cash handling, deposits, merchant services, and cash flow processes.
· Maintain proficiency with the point-of-sale (POS) system (Clover) and generate operational and financial reports to support business decisions.
Advocacy & Organizational Support
- Serve as a backup advocate by answering crisis line calls, receiving walk-in clients, and providing community or legal advocacy as needed (up to 10% of work time).
- Complete required domestic violence and sexual assault advocacy training within established timeframes.
- Support organizational events, trainings, outreach activities, and special projects as assigned.
Qualifications
- Preferred:
- Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
- Five (5) years of progressively responsible experience in nonprofit finance or accounting.
- Experience overseeing financial reporting, budgeting, audits, payroll, and grants management.
- Experience working with nonprofit boards, finance committees, and external auditors preferred.
- Demonstrated knowledge of nonprofit accounting principles, grant compliance, internal controls, and financial regulations.
- Proficiency with QuickBooks, Microsoft Office Suite, payroll systems (ADP preferred), donor management software, and financial reporting systems.
- Ability to successfully complete a background check upon hire.
- Ability to complete required domestic violence and sexual assault advocacy training within 30 days of hire.
Knowledge, Skills & Abilities
- Strong financial management, budgeting, forecasting, and analytical skills.
- Knowledge of nonprofit accounting, grants management, and financial compliance.
- Proficiency in Microsoft Office Suite, particularly Excel for budgeting, financial analysis, reporting, and data management, with the ability to leverage Microsoft applications to support organizational operations and decision-making.
- Manage sales tax obligations, including tracking taxable sales, preparing and filing returns, remitting payments, processing eligible refunds, and maintaining supporting documentation.
- Excellent organizational, problem-solving, and decision-making abilities.
- Strong written, verbal, and interpersonal communication skills.
- Ability to communicate financial information clearly to non-financial audiences.
- Ability to manage multiple priorities while maintaining exceptional attention to detail.
- High level of integrity, professionalism, discretion, and confidentiality.
- Ability to work independently while collaborating effectively with leadership, auditors, grantors, and board members.
