Summary
The Executive Assistant provides shared administrative support to the Mechanical and Electrical Discipline Presidents, enabling them to focus on strategic priorities and high-value initiatives. This role is responsible for managing a variety of administrative functions, creating additional capacity for leadership to drive organizational success.
The ideal candidate will serve as a trusted gatekeeper, proactively managing communications, coordinating priorities, and acting as a reliable source of information for colleagues, clients, and key stakeholders. Strong judgment, discretion, and a commitment to fostering effective collaboration are essential to success in this role.

Key Responsibilities
- Manage scheduling and logistics for each discipline President.
- Coordinate calendars across two executives, resolve conflicts, and protect focus time.
- Manage and arrange travel, build itineraries, and process expense reports.
- Capture and track meeting action items and follow-up activities and prepare concise updates for discipline Presidents.
- Compile basic budget data and maintain records as requested.
- Maintain shared documentation and version control of recurring reports.
- Help prepare recurring reports that improve visibility into discipline performance (e.g., QA/QC completion, hiring status).
- Serve as a coordination point between the two disciplines on shared administrative matters.
- Support departmental needs with administrative tasks.

Qualifications
- Bachelor’s degree preferred.
- Experience: 2–4 years in executive administrative role.
- Knowledge formatting, records management, and office software technology.
- Demonstrated ability to prioritize tasks and adapt to shifting departmental needs.
- Professional appearance and customer service mindset in internal and external interactions.
Pay: From $65,000.00 per year
