Responsible for supporting the Principal and the elementary school by performing administrative and secretarial functions including answering phones, greeting visitors, and responding to requests; inputting data into the system; receiving, sorting, and distributing mail; making copies; troubleshooting and maintaining office machines; monitoring emergency radios and carrying out emergency drills/exercises; performing daily financial and monthly budget duties; preparing correspondence; assisting students in the health clinic; and performing building human resources functions.

Perform daily tasks to ensure efficient school operation, including answering phones and responding to requests; inputting work orders and requests into the system; receiving, sorting, and distributing mail; making copies; troubleshooting and maintaining office machines; and monitoring emergency radios and carrying out emergency drills/exercises

Perform daily financial duties, including inputting purchase orders, requests for payments, and requisitions; issuing checks; ordering warehouse, school, and custodial supplies; writing receipts; depositing checks; and making Pro-Card purchases

Meet and greet students, parents, staff, vendors, and community members visiting the school office and respond to requests, including providing information, making copies, registering incoming students, giving school tours, etc. These duties may be performed in collaboration with the School Secretary

Compose, edit, type, copy, update, fax, and/or mail correspondence such as letters, memos, rosters, phone trees, reports, staff bulletins, and contact articles

Assist students in the health clinic and maintain the healthoffice, including maintaining health records, distributing medications, preparing First Aid kits and medicines for field trips, assisting sick or injured students, contacting parents or 911, and completing and sending student accident forms as needed. These duties may be performed in collaboration with the School Secretary

Perform daily human resources functions, including verifying substitutes (LARS system), FMLA leave, workers' compensation forms, and completing necessary Employee Change Notification (ECN) forms

May maintain school, meeting/event, and/or Principal's calendars

May maintain and keep current student information using the District's student information database, including data related to the October Count and state and national test data

Perform monthly human resources functions including preparing a monthly wage and hour record for each classified employee; verifying and calculating monthly work hours and sick leave for classified employees; completing monthly payroll sheet from data on wage and hour record and submitting to payroll; and submitting pay requests for certificated employees for stipends, adjustments, councils, chairs, and advisor duties

Perform monthly budget related duties which may include running and checking monthly financial summaries; reconciling imprest checking and petty cash accounts; entering journal entries and budget substitutions (BXs); paying print shop and transportation bills; coordinating, ordering, assigning, and verifying Pro-Card accounts; managing and verifying grant account budgets; and monitoring teacher budgets and accounts

May publish school newsletter including writing articles, formatting, adding clip art, copying, mailing, and adding to the website

May participate in building committees such as safe school, social, accountability, and/or building council. May also attend and/or take minutes at staff meetings

Perform annual human resources functions such as end of year human resources forms and memos related to changes, rosters status, and ECN forms for each instance. May also assist Principal with weighted staffing information

May assist with preparing School Improvement Plan and School Progress Report and with updating staff handbook including gathering data, making charts, updating rosters, schedules, maps, etc

May assist Principal with preparation of school budget by compiling past account information as needed and by preparing teacher accounts

Attend courses to obtain/maintain First Aid, CPR, and medication certifications

Perform other duties as assigned.
Education/ Certifications:

High school diploma or equivalent, plus post-secondary courses in bookkeeping/accounting and computer technology including courses in word processing and spreadsheets equivalent to one year of college.

Criminal background check required for hire.

CPR, First Aid, and medication certifications required within 1 month after hire.
Experience:
-
Over two and up to five years of experience in progressively responsible educational secretarial positions preferred, including experience in meeting the public.

Bookkeeping experience preferred
Classified 210 Calendar
Starting pay, Grade 7 at $24.75/hour
