Job Overview
The Accounting Support Specialist provides administrative and transactional support to the Accounting Department in the day-to-day financial operations related to the administration of health, medical, Medicare supplement, life insurance, and annuity policies. This role assists with the processing, reconciliation, and maintenance of financial records to ensure the accuracy and integrity of company accounting data. The Accounting Support Specialist plays a critical part in managing policy suspense accounts, payment reissuance, check deposits, and other general accounting support functions that contribute to timely and accurate financial reporting.
Responsibilities
Accounting Operations Support
- Process and apply policy payments, premium deposits, and other incoming funds to appropriate accounts.
- Review and reconcile policy suspense balances, identifying and resolving unmatched or misapplied payments in coordination with customer service, claims, and operations teams.
- Assist in the preparation and posting of journal entries and daily cash activity related to insurance and annuity business.
- Research and reissue uncashed or returned payments in accordance with company policy and regulatory requirements.
- Monitor and process stop payment requests, stale-dated checks, and payment corrections.
- Prepare daily check deposits and maintain accurate deposit logs and records for audit purposes.
- Support reconciliation of bank accounts, clearing accounts, and other general ledger accounts as assigned.
Policy & Financial Administration Support
- Maintain documentation related to policy financial transactions in accordance with internal recordkeeping standards.
- Verify and process policy-related refunds, returned premiums, and commission adjustments.
- Work closely with claims and policy administration teams to ensure financial transactions are processed accurately and timely.
Compliance & Reporting
- Follow internal control procedures to ensure compliance with company policies and regulatory standards.
- Assist in preparing supporting documentation for internal and external audits.
- Maintain confidentiality and data integrity in all accounting functions.
Collaboration & Continuous Improvement
- Partner with other accounting and operations team members to resolve discrepancies and improve workflow efficiency.
- Identify opportunities to streamline and enhance accounting processes.
- Acquire and maintain in-depth knowledge of company products/services to provide accurate information and support to clients.
Qualifications
- Associate’s degree in Accounting, Finance, or related field preferred; equivalent combination of education and experience will be considered.
- 0–2 years of accounting, bookkeeping, or financial operations experience (insurance or financial services industry experience preferred).
- Basic understanding of accounting principles (GAAP) and financial reconciliation processes.
- Strong attention to detail and high level of accuracy in data entry and recordkeeping.
- Excellent organizational and time management skills with the ability to manage multiple tasks and deadlines.
- Proficiency in Microsoft Office (especially Excel, Outlook, and Word).
- Experience with accounting systems or policy administration systems preferred.
- Strong communication and problem-solving skills.
- Ability to work independently as well as collaboratively in a team environment.
- Commitment to maintaining confidentiality and professional integrity.
