Job Description:
As an Office/Catering Manager you will support the executive team to ensure the smooth operation of daily business activities and oversee all aspects of our catering operations.
Responsibilities and Duties:
Office Manager Duties:
- Foster a positive work environment that promotes teamwork, professionalism, and exceptional customer service.
- Maintains office services by organizing office procedures, controlling correspondence and designing filing systems.
- Screen incoming and outgoing communications, including phone calls, emails, and mail.
- Prepare meeting agendas, compile relevant materials, take accurate meeting minutes and follow up on action items, ensuring deadlines are met by sending reminders.
- Manage and maintain executive calendars, including scheduling appointments, meetings and prioritizing the most sensitive matters.
- Monitor inventory levels, place orders for supplies and equipment, and manage vendor relationship
- Prepare weekly, monthly, or quarterly reports
- Act as the point of contact among employees, clients, vendors and other external partners, on behalf of the owner
- Create internal systems and processes based on business needs. This may include SOP’s for general operations.
- Use and maintain strict confidentiality, discretion, and judgment in dealing with confidential and sensitive issues in all aspects of work.
Catering Manager Duties:
- Collaborate with clients to understand their event requirements, including menu selection, dietary restrictions, event timelines, floor plans, and seating arrangements.
- Oversee the setup, service, and breakdown of catering events, ensuring adherence to quality standards and timelines.
- Plan and organize all aspects of catering events, including food preparation, staffing, logistics, and equipment rentals.
- Coordinate with the culinary team to create customized menus that meet clients' preferences and dietary needs.
- Build and maintain strong relationships with clients, understanding their needs and preferences.
- Respond promptly to client inquiries, provide accurate information, offer appropriate recommendations, ensure items are invoiced and paid on time.
- Monitor event budgets and expenses to ensure profitability
- Manage contract and price negotiations with office vendors, service providers and office lease
- Ensure compliance with health and safety regulations, sanitation standards, and licensing requirements.
Qualifications and Skills:
- Bachelor's degree in Hospitality Management, Event Planning, Business or a related field (or equivalent experience).
- 4+ years experience as an Operations Manager or in a similar role, preferably in the catering or office setting.
- 4+ years experience as a Catering Manager or in a similar role, preferably in the catering or hospitality industry.
- 2+ years experience with catering software, event management systems, and Microsoft Office Suite/Google Suite.
