Duties Description The Administrative Specialist 1 position will work within DEMI’s Eligibility Systems Modernization Group to provide overall professional administrative and technical support for staff within the Group which is comprised of three Bureaus. Responsibilities will include, but not be limited to:
Coordinate and schedule meetings for the Group Director and the Directors of the three Bureaus within the Group, including meetings with high level staff and WebEx or Teams meetings with internal and external stakeholders
Make travel reservations and assist with the submission of expense reports
Maintain tracking system for staff assignments and personnel information
Independently prioritize incoming tasks and ensure efficient workflow for the bureau using databases and spreadsheets
Manage change control and documentation process
Review work flow and processes to ensure proper procedures are followed, and recommend updates as needed
Prepare correspondence, reports, letters, work plans, and informational charts
Establish and maintain supply and equipment needs
Serve as Group liaison for the onboarding and offboarding of staff
May supervise subordinate staff.
Minimum Qualifications Reassignment: Current NYS Department of Health (DOH) employee with permanent or contingent-permanent status as an Administrative Specialist 1, G-18.
Transfer: Current NYS employee with one year or more of permanent or contingent-permanent, competitive service in a title eligible to transfer under Section 52.6 or Section 70.1 of the Civil Service Law to an Administrative Specialist 1, G-18.
NY HELPS:
- Administrative Specialist Trainee 1: Four years of experience performing or overseeing budget, human resources, and business services activities for an organization or program.
- Administrative Specialist Trainee 2: Five years of experience performing or overseeing budget, human resources, and business services activities for an organization or program.
- Administrative Specialist 1: Six years of experience performing or overseeing budget, human resources, and business services activities for an organization or program.
Substitution: An associate degree may substitute for two years of experience; a bachelor’s degree may substitute for four years of experience; a master’s degree may substitute for five years of experience; and a doctorate may substitute for six years of experience.
Preferred Qualifications: The preferred candidate must be able to work with a diverse group of professionals; have strong organizational and communication skills(written and verbal), strong attention to detail, and a desire to contribute to a team-oriented workplace. The preferred candidate must be able to manage and organize multiple tasks in a fast-paced office setting; knowledge of office administration; proper grammar, punctuation, spelling and business communications and have proficient computer skills; including experience using Microsoft Office products.
